Graduate Studies Information Officer, Office of Graduate Studies:


Required Position:

Full-Time Term Appointment until May 31, 2025


Responsibilities:


Working under the supervision of the Vice-President of Research, the Graduate Studies Information Officer (GSIO) will enhance the quality of student services for graduate students.

The incumbent is responsible for overseeing and ensuring the timely and efficient delivery of internal and external award programs, graduate student professional development programs, and recruitment and retention activities for graduate students.

The incumbent is responsible for coordinating the efficient and effective operation of graduate programs by providing support to Graduate Program Coordinators, LU International and the Registrar's Office.


  • Coordinate and participate in Universitywide graduate student orientation activities, and provide individual orientation to incoming graduate students when necessary;
  • In consultation with the VPR/Dean of Graduate Studies and International develop a 12month professional development program to support retention and professional development of current graduate students;
  • Be the first line of contact for current graduate students with general questions. Work with the Graduate Program Coordinators to support existing graduate students including receiving and reviewing annual reports from students in thesis stream graduate programs;
  • Serves as the graduate scholarship coordinator for internal and external scholarship competitions;
  • Collects, organizes, and presents information to the departmental/Faculty ranking committees;
  • Administer Tri-Council, Provincial, Laurentian, and other relevant scholarships;
  • Prepare an annual report for the VPR/Dean of Graduate Studies and International summarizing the student name, program, award and amount at the end of each fiscal year;
  • Plan, strategize and undertake the recruitment of potential graduate students in collaboration with Liaison, LU International, Graduate Program Coordinators and the Office of Admissions;
  • Attend graduate fairs and other recruitment events off campus as required;
  • Plan and attend graduate student recruitment activities on campus including attending classes (with the Graduate Program Coordinator) to promote LU graduate programs to undergraduate students;
  • Coordinate the preparation of marketing materials including the development of the Graduate Studies View Book;
  • Assist graduate programs in the planning of recruitment efforts and marketing materials;
  • Coordinate the submission of yearly student progress reports by graduate programs;
  • Review the yearly student progress reports with the VPR/Dean of Graduate Studies and International;
  • Annually review the timeline to completion, in accordance with the Graduate Studies Regulations, with support from the Office of the Registrar and Graduate Program Coordinators. Prepare a report for the VPR/Dean of Graduate Studies and International, including letters to send to students who are over the allotted time for program completion;
  • Inform the VPR/Dean of Graduate Studies and International of situations that may arise where Graduate Studies Regulations are not followed.
