Job Summary
***- Coordinate the I&T CWS Admin & Support related work

  • Responsible for all the backend processes ensuring that all consultants are set up for SAP time capture and approvals by authorized CN managers.
  • Responsible for all decisions related to invoicing and payment processing for our contingent workforce vendors.
  • Additional responsibility includes monitoring of time approval, adherence to policies & guidelines, maintaining the organizational structure for I&T in SAP and settling of payment discrepancies and disputes with vendor representatives.
  • Support the CWS Performance Governance framework for Preferred Vendors and issue resolution

Main Responsibilities

CWS Admin and Support team

  • Manage the recruiting and resource onboarding process
  • Manage the consultant renewals with I&T Managers and Vendors

Accountable for the proper system setup of the contingent workforce

  • Oversee the creation of HR profiles in SAP and the enabling of time entry and approval
  • Accountable for the entire lifecycle of PO for consultants from creation to termination
  • Interface with Procurement and Supply Management for the timely release of PO
  • Ensuring that all CW time entries and approvals are compliant with our internal audit controls
  • Ensure that issues are resolved promptly for consultants that are unable to enter time
  • Provide training & support to I&T time approval managers
  • Responsible to maintain and publish policies and guidelines for Contingent Workforce
  • Ensure all consultants are eRailSafe compliant

Responsible for Invoicing, Payments, and Reconciliations with Vendors

  • Ensure that time entries, approvals, and payment to the vendors are timely and accurate
  • Responsible for the monthly reconciliation of payments to all of our vendors
  • Handle questions and resolve disputes with vendors.
  • Escalate issues to Sr. Managers based on urgency and impacts.
  • Lead monthly review meetings with key vendors and maintain list of action items

SAP Data Maintenance

  • Accountable to maintain employee data within SAP for the CN I&T organizational structure
  • Supporting I&T for all SAP procedural inquiries related to consultants

Requirements:


Education
Bachelor's degree from an accredited university in IT or Business Administration, or related major or equivalent work experience


Skills/Knowledge

  • SAP HR/MM/FI functional knowledge
  • More than 5 years experience in similar roles
  • Strong Excel skills (intermediate to advanced)

Experience

  • General knowledge of SAP HR/MM/FI functionality as it relates to CWS
  • Excel proficient a must (formula's v look up)
  • Knowledge of Power Bi
  • Basic knowledge of HR Policies as they relate to contingent workforce
  • Basic knowledge on how teams correlate (work processes) namely Finance and Procurement
  • Attention to details and ability to manage multiple priorities
  • Customer service oriented
