About the Law Reform Institute

Position Summary
The Executive Assistant provides support to the Executive Director of the Alberta Law Reform Institute [ALRI]. This includes managing calendars and providing support where needed so the ED can perform their duties more effectively. The role of managing the preparations for the regular board meetings is also a priority for this position.

The Executive Assistant also administratively supports some of the Institute projects, makes travel arrangements for the Board members and staff of the Institute, manages the Institute's small library, and assists with event planning and management.


Duties

  • Support the governance and operational activities of the Executive Director, including correspondence, managing the daily calendar and gathering meeting materials.
  • Manage the preparations and logistics for the regular meetings of the ALRI Board of Directors. This includes the creation of draft agendas, collect meeting materials, manage logistics, and prepare and distribute minutes.
  • Offer administrative support for ALRI projects and Legal Counsel by arranging project committee meetings, format project reports for publication, including footnotes, using advanced MS Word skills and legal citation format standards.
  • Act as the ALRI corporate secretary including managing filing obligations and updating corporate records.
  • Other general administrative duties such as managing ALRI document MS Word templates, make travel arrangements and manage travel claims for ALRI Board and staff as well as manage the purchases and filing for the Institute's library.

Minimum Qualifications

  • Undergraduate degree or completion of diploma or certificate program preferred; or High School Diploma with equivalent experience.
  • Five years of related experience in a postsecondary environment, government, or possibly a law firm.
  • Experience as an Executive Assistant, by providing support to scheduling, and the preparation or finding meeting materials for a busy Executive.
  • Experience with managing the logistics for Board or similar business meetings.
  • Demonstrated ability to work independently and collaboratively in a high level team environment while managing competing priorities.
  • Strong commitment to confidentiality and professionalism.
  • Proficient with Microsoft Office (including Advanced Word skills), Adobe Acrobat, and the Google suite.
  • Excellent proofreading and business writing skills.

Preferred Qualifications

  • Experience searching online databases.
  • Legal experience is not required, but some familiarity with the legislative, or court systems in Alberta would be an asset.
