RCC is looking for a
Specialist, Events to work out of our Toronto Head Office, reporting to the Manager, Events.

***Under the direction of the Manager of Events, the incumbent plans, coordinates and implements all elements related to event registration and event logistics. Liaising with members, internal staff, and service providers to coordinate the necessary logistics including event registration set up, supplier sourcing, planning, implementing, reporting, invoicing, price checks and customer care. In addition, the Specialist, Events will play an important role in the administration of the RCC Awards programs.


PRIMARY RESPONSIBILITIES
Event Registration, Administration & Data Processing - 50%

  • Execute all aspects of the pre
- and post-event online and manual registration processes.

  • Ensure all registration data is accurately collected, and key contact information is transferred into RCC database.
  • Ensure registration fees are paid and processed, and all registrations are paid within the correct levels and categories.
  • Onsite coordination of registration by performing tasks such as: printing badges, posting signage, settingup registration table, arranging table seating, creating menus, and other onsite logistics.
  • Assist Events team with special projects, as required.

Event Logistics - 40%

  • Support the planning, development and implementation of event logistics including venue sourcing, food and beverage orders, audiovisual set up, signage and promotion, venue load in and out and any alternate supplier sourcing.
  • Coordinate logístical details with suppliers and venue managers to ensure the successful execution of events.
  • Liaise with internal (marketing and sponsorship teams) and external (members, sponsors, exhibitors, suppliers) stakeholders.
  • Facilitate trade show components of events including exhibitor relations.
  • Participate in the completion of event related reports.

Awards Programs - 10%

  • Execute all aspects of the pre
- and post-event online and manual registration processes.

  • Send out a variety of registration communications to applicants.
  • Collect all required information for each entry.
  • Create database to house all submission information.
  • Work directly with applicants to ensure all necessary information is received.
  • Assist with the logístical and onsite elements of the Gala.

Other

  • Provide input and recommendations to improve daytoday operations within Member Services, as well as provide feedback to other departments.
  • Other general administration duties as required.

REQUIREMENTS

Required Knowledge & Skills

  • Proficiency with Microsoft Office products including Word, Excel, Outlook, and PowerPoint.
  • Capacity to produce a high volume of quality work within tight timelines.
  • Ability to work independently on projects as well as collaboratively with team members.
  • Strong customer service skills and ability to handle complaints in a professional manner.
  • Excellent interpersonal, written, and verbal communications skills.
  • Demonstrated knowledge of the event process, planning & execution.
  • Demonstrated innovation and creativity in the form of continuous improvement to internal processes.
  • Flexibility to work long hours as evening and weekend work is required during peak times.

Assets

  • Proficiency or knowledge of the Cvent Registration Platform.
  • Previous experience with data entry, financial reporting, and POS processing.
  • Sales, negotiation, and telemarketing experience.
  • Understanding of the retail industry.

Education

  • Postsecondary degree or diploma, preferably in Business Administration, Events Management, Public Relations, or other related discipline.

Experience

  • 35 years of relevant work experience in event coordination, logistics, and providing administrative support
