Assistant to the Associate Dean


The Assistant to Associate Dean provides administrative support for the Engineering Technology and Aviation department by performing a wide range of functions that contribute to the success of the students, faculty, staff and Associate Deans.


The incumbent initiates and supports the efficient operation of the department in its academic offerings in keeping with the College's strategic plan and the operational plan for the Engineering Technology and Aviation department.


The incumbent acts as a first point of contact for faculty, and on a daily basis will resolve and problem solve issues that may have required the Associate Dean's time including community partners, students, families of students and several internal departments.


RESPONSIBILITIES
The duties of this position will include, but are not limited to, the following:

Contributes to the operations of the Programs offered at the School, by providing a wide range of administrative duties


Specific responsibilities include:


  • Planning and coordinating key academicrelated activities such as:
  • Ensuring faculty and staff adherence to a wide variety of academic-related deadlines.
  • Organizing and attending promotion meetings, preparation of required student information, recording promotion decisions and followup.
  • Preparing electronic and hardcopy correspondence for academicrelated issues.
  • Assembling data and preparing reports on program activities and new initiatives, program proposals and reviews, and preparing submissions for various reporting requirements.
  • Reviewing and maintaining currency of annual College Calendar proofs, College web information, program of studies and recruitment information.
  • Managing the content on the Program web sites by creating and updating content including web surveys and new content pages by: coordinating, implementing and modifying procedures to ensure the timely and effective preparation, recording, and auditing of contracts (Data Management), payment releases for nonfulltime faculty and support staff and submitted electronic staffing actions forms when needed.
  • Coordinating faculty vacation schedules, as well as updates of faculty attendance. Responsible for monitoring support staff attendance/vacation schedules for the entire department.
  • Conduct research as required by Associate Dean and Coordinators. Usually related to new program development or continuous improvement process.
  • Scheduling Class Observation Visits performing followups to ensure completion.
Providing administrative support to Program Advisory Committee (PAC) chairperson(s) and members by:

  • Ensures integrity of these committees by orienting and welcoming new members, maintaining membership, contacting members, updating membership information, setting up a group internet site, etc.
  • Assisting PAC members and answering inquiries with respect to participation in program reviews, new program proposals and other programrelated activities.

Liaising with academic partners such as:

  • Ministry of Training, Colleges and Universities.
  • Publisher representatives, equipment and software vendors.
  • Academic institutions and partners.
  • Coop education and graduate employers.
  • Communicating with professional associations, certification bodies, and outside agencies regarding programrelated issues, special projects, student and staff awards, etc.
  • Assisting the Associate Dean with the organization and tracking of the faculty nonteaching period activities and curriculum development plans.
  • Tracking the professional development plans and vacation entitlements for faculty and support staff as outlined in the Collective Agreement, to ensure all required days are accounted for and reported to Human Resources in a timely manner.

Providing orientation and assistance to new hires:

  • Informing of relevant College policies and procedures.
  • Providing necessary course, timetable and student information.
  • Assisting with the electronic college academic systems such as MyMohawk, course tools, class lists, and grading.
