ONE Properties (ONE) is seeking aProperty Administrator to join our vibrant and fast-paced team in Edmonton, AB.
The Opportunity
The Property Administrator is the administrator at the corporate level ensuring that transactions are recorded accurately on a timely basis.
They are responsible for ensuring records are accurate and current, and work closely with property teams to coach site based team members and other users of the property management software.
They assist the Senior Property Administrator, Regional Managers and Accounting Department in ensuring the successful operation of each property in the portfolio.
The Property Administrator reports to the Senior Property Administrator.Accountabilities
Operations
- Liaise with site team members on Yardi workflows and functions, not limited to but including PO creation/approval/clean up, petty cash/expense review, and other administrative workflows as assigned.
- Provide support to the Senior Property Administrator.
- Liaise with Property Accountants on property accounting matters.
- Prepare and process cheque requisitions for vendors and residents.
- Prepare files and send outstanding past residents accounts for collection according to internal/external collection practices.
- Assist site team members with prospect prescreening, qualifying criteria and related functions.
- Assist with all office functions, as needed.
- Other related duties as required.
Administration and Reporting
- Monitor accounts receivable.
- Receive and process invoices with AP administration.
- Investigate and address issues arising from vendor invoicing.
- Review accuracy of security deposit and move out statements on all moveouts, coordinating refunds with AP administrator.
- Upload and maintain files on Sharepoint.
- Provide monthly reports to the Senior Property Administrator on internal and external pastresident collection activity.
- Complete forms, contract agreements and other documentation as required from time to time.
Customer Service
- Practice excellent resident relations through working collaboratively with property team members to ensure current and former resident concerns regarding rent payments, outstanding amounts or grievances are directed to the appropriate party and are dealt with in a timely and professional manner.
- Practice exemplary relations with external parties such as vendors and clients regarding accounting matters, reporting, communication, and other requests in a timely and professional manner.
Qualifications

Education
- High school diploma and understanding of basic bookkeeping practices, combined with a strong internal and external service commitment.

Experience
- Minimum of 2 years bookkeeping experience in a customerfocused service industry, and 1 year experience using Yardi software. Residential property management experience is an asset.

- Proficient in a variety of computer software packages including Yardi and Microsoft Office.

Police Clearance
- A criminal verification check is required for employment.
