Position Purpose and
Summary


The Executive Assistant to the Dean - School of the Arts, Media + Culture (SAMC) is responsible for providing executive support to the Dean, and other members of the leadership team of SAMC in the effective operation of the School and its programs.


Key Areas of Accountability
Provide research and administrative support for the Dean's strategic directions and initiatives, both within Trinity Western University and with external parties (e.g. professional associations and development and fundraising). Provide professional reports as needed.

  • Assist in the preparation of annual department budget submissions, budget management (tracking, coordinating, reporting, forecasting and gathering information for summarizing) and coordination with other members of the Dean's office and department chairs.
  • Provide superior, confidential, executive administrative services for the Dean and Associate Dean. Proactively support daily and weekly activities, including drafting communications, maintaining faculty recruitment and personnel files, and managing program evaluation reports.
  • Maintain an overall welcoming, efficient and fully confidential office, acting as the internal and external frontline contact for the Dean of SAMC.
  • Guide and supervise the work of the Admin Assistant and student workers in the service of addressing the needs of the faculty throughout SAMC
  • Coordinate SAMC timetable information with chairs and Enrolment Management, including course offerings, classroom space, faculty schedules.
  • Assist in preparation of SAMC/Standing Committee submissions to UAC and Senate as required.
  • Coordinate annual Academic Calendar and checklist updates.
  • Provide event coordination, administrative assistance, marketing, publicity and management of student workers for SAMC large events and conferences.
  • Manage event task flow on behalf of Dean and assist the Office of the Provost with projects/events, such as the management of SETL and graduation.
  • Act as a liaison to Trinity Western University's Marketing and Communications Department.

This includes, but is not limited to:
coordinating and managing the online event calendar tool; managing SAMC's online presence; graphic design and production of programs and posters; coordinating and developing on
- and off-campus event publicity; and developing materials for SAMC's event sponsorship initiatives.

  • Coordinate marketing for SAMC's events throughout the year in conjunction with the SAMC department chairs and Marketing and Communications team.

Standards & Requirements

Education:
Undergraduate BA degree required.


Experience: 5-6 years prior experience in a higher educational setting, preferably in an administrative role. Event coordination and marketing experience is an asset. Training and/or experience in graphic design is an asset.
