Position Summary:


This position is responsible for supporting the provision of Assisted Living Services to older adult clients at the Senior Persons Living Connected site and the Wishing Well Manor site (Toronto Community Housing).

The Assistant provides general administrative support and schedules of Personal Support Workers (PSWs) to ensure service provision in a safe and quality manner.


Responsibilities:


1.

Schedule Workers and support safe service provision:


  • Schedules Personal Support Workers on a weekly basis for personal care (PC), medication reminding, home making, laundry, safety reassurance service to ensure services and language / culture of PSW are matched with client's needs.
  • Schedules replacement PSW s for staff who become unavailable for work due to illness, holidays, leave of absence etc.
  • Informs the Assisted Living Manager of inhome hazards and changes of client condition reported by workers
  • Informs the Assisted Living Manager of observed issue from staff team
  • Helps to supervise volunteers in Assisted Living department

Provide administrative support:


  • Updates client's file in Procura (electronic record) as required by the Manager Employment Opportunity
  • Prepare QHR pay roll record biweekly for the Assisted Living Manager to audit and approve
  • Provides clerical support to maintain office and service operation effectively and efficiently
  • Assist in preparing statistical reports including those for input by the data entry team
  • Records minutes at department meetings
  • Provides administrative backup support to the Manager during absence including documenting in client's service plan in Procura, providing guidance to Personal Support Workers, ensuring service is provided in a safe and timely manner.
  • Keeps record and inventory of protective personal equipment (gowns, gloves, aprons, face masks) and necessary supplies, and assist in supplies order or purchase.
  • Help to manage filing system, current and outdated documents

Client Support:


  • Contact client for schedule discussion and change of service schedule
  • Prepare and explain service table to client / caregiver and collect their consent
  • Follow up client's concern / issue under the guidance of Assisted Living Manager
  • Support client's assessment under the guidance of Assisted Living Services Manager

Experience and Skills:


  • Ability to speak Cantonese is a requirement
  • Experience scheduling staff a is a requirement
  • Two years' experience working with seniors in a community setting
  • Experience working with frail or cognitively impaired seniors
  • Excellent interpersonal, communication and decisionmaking skills and ability to handle stress from work
  • Excellent computer knowledge and skills, with proficiency in Microsoft word, excel and scheduling system
  • Excellent verbal and written skills
  • Valid driving license and daily access to a vehicle is an asset
  • Strong organized and time management skills
  • Ability to be adaptable in a frequently changing work environment

Working Conditions:


  • Required to work occasional evening and weekend hours
  • Required to conduct home visits with clients and caregivers; working alone in the home
  • Required to work at different sites
  • Frequently having to schedule and reschedule staff in short periods of time
  • Frequent phone calls and interruptions
  • Ability to maintain confidentiality and the knowledge and sensitivity to work in a culturally diverse environment
  • May be exposed to contagious diseases
