Program Associate, Quality Assurance (1 Year Contract)
Position Summary

What you'll do at OCP

  • Act and model behaviours aligned with the Mission, Goals, Values and Strategic Priorities of the organization
  • Listen actively to clients, demonstrates an understanding of client needs and fosters effective twoway communication
  • Demonstrate an understanding of own role and responsibility, and those of other partners involved in providing client services
  • Prioritize own work to meet client needs within agreed and sometimes tight timelines
  • Demonstrate the ability for understanding information extracted from data and summarized into simple statistics, reports, processes and procedures
  • Recognize data as an enabler for progress and support for existing and planned activities
  • Responsible for the creation and management of data and information
  • Adopt data quality management practices that create trusted data sources for informed decision making
  • Demonstrates understanding and compliance with the OCP Privacy Policy
  • Manages the information they collect, create, and use in support of operational needs, regulatory responsibilities, and program and service outcomes
  • Manage the process for registrants who do not pass the Practice Assessment by providing the necessary information and coordinating their coaching and QA assessments
  • Provide support to registrants participating in QA Coaching and QA Assessment
  • Respond to technical queries related to QA Coaching and QA Assessments
  • Maintain and update registrant information and results from the Practice Assessments, QA Coaching and QA Assessments in the Radar CRM
  • Manage and monitor registrant information in Radar for the administration of the QA Coaching and QA Assessments
  • Manage and monitor registrant cases being referred to the QAC.
  • Coordinate the scheduling of QAC meetings and monthly panels, ensuring quorum for panels.
  • Compile and prepare reference material relevant to registrant cases being referred to the QAC.
  • Attend and record minutes of QAC and panel meetings.
  • Prepare draft letters for review by QA Advisor(s) and send approved correspondence to registrants.
  • Maintain files of all correspondence, meeting notes and reports in a timely fashion providing timely retrieval of information in accordance with the College's information management principles and guidelines
  • Continually examine work process and explore opportunities for improving efficiencies through technology, elimination or altering of work processes and make recommendations to the PDR & Quality Assurance Lead
  • Other reasonable duties as assigned by the PDR & Quality Assurance Lead or Manager, Registrant Competence
What we're looking for

  • Experience in a regulatory environment is an asset
  • Experience with statutory committees is an asset
  • Excellent written and verbal communication skills
  • Selfmotivation and solid organizational skills to efficiently and effectively manage workload, deal effectively with multiple demands and maintain composure while progressing toward desired outcomes
  • Ability to solve problems independently and a willingness to tackle new challenges and upgrade skills when required
  • Tact and diplomacy; ability to deal effectively with difficult people over the telephone and in person
  • Judgement and discretion; ability to maintain the confidentiality of sensitive file material and information
  • Proven ability to draft clear correspondence
  • A focus on customer service with all stakeholders
  • Proficient with Microsoft Office and relational databases
  • Judgment and discretion; ability to maintain the confidentiality of sensitive material.
  • Ability to deal effectively with stakeholders in person and over the phone and defuse difficult situations as required.
What experience we prefer

  • College diploma in a related field such as business, administration or equivalent
  • Must have 35 years recent relevant experience in an administrative or related role
