Responsibilities:


PRIMARY PURPOSE


The Project Delivery Specialist works within the BTS Planning, Architecture & Design (PAD) department, with a primary focus on the effective and efficient intake of new work and projects into the PAD practice, ensuring the department is set up to successfully deliver on its commitments to stakeholders.

The Project Delivery Specialist works with PAD leads to identify, allocate and coordinate required resources, skills and schedules related to technology design and build phases of projects, preparing knowledge artifacts to support the transition of the project into its delivery phase.

The Project Delivery Specialist leads the documentation, communication and adoption of departmental processes and procedures, as well as department-related performance and status reporting.


KEY ACCOUNTABILITIES


Leads and facilitates Planning, Architecture & Design work intake, including documentation and clarification of deliverables, schedules, budgets, and stakeholders; communicates with all parties to set and manage expectations, provide project updates and serves as a liaison with internal and external stakeholders.


Provides senior level of process and planning expertise in defining and determining Planning, Architecture & Design goals, objectives, project plans, work packages, schedules, risks, and other related documents to the proposed project; Contributes to the development of business cases to support budget planning, monitors and administers project budgets, identifies success measurement standards for each project and/or phase.

Evaluates the skill and technology requirement for projects, identifies technical resources, and assists in determining the need for external resources.

Under the guidance of the manager, define, document, implement, communicate, and update departmental processes and procedures.

Ensure Planning, Architecture & Design project artifacts and corporate records are classified and filed appropriately as per corporate records policies.


Plans, coordinates, and attends design and delivery meetings with Planning, Architecture & Design and stakeholders, taking notes and preparing minutes as required; recommends courses of action to assist projects to adhere to goals, objectives, and deadlines; develops and prepares procurement specifications; organizes and tracks product delivery, warranty, and installation in accordance with project milestones; assists to resolve project issues and recommends solutions to address budget, scheduling, technology, methodology, and other issues; develops status reports.


Researches and maintains awareness of capabilities of TransLink technology assets, to assess and recommend solution options to fulfill business requirements, in addition to developing and recommending business improvement and change initiatives.


Analyses and Monitors requirements and current state and notifies management and key stakeholders in real-time of important developments, potential problems, including potential risks and provide inputs to the mitigation plans.


Fosters and maintains relationships with internal BTS services providers and stakeholders and external vendors to ensure knowledge is current and aligned with product and governance strategies.


Prepares business reports and supports the manager in preparing presentations for senior leadership teams, project steering committees and project stakeholders.


Qualifications:


EDUCATION AND EXPERIENCE:


The requirements for this position are acquired through completion of a diploma or degree in a computer or business administration related discipline, plus five (5) years of information technology, project delivery and business analysis in a complex environment with enterprise systems, and multi-stakeholder projects.

Prior experience in project management with demonstrated strong analytical skills when developing and recommending business improvements and change initiatives.

Excellent communication skills with the ability to persuade others.
