How you will contribute as part of the TRCA team:

Under the direction of the Manager, Events, the Assistant Supervisor, Events' primary focus is to perform administrative tasks, including accounts payable, procurement reports and event related spreadsheets and reports.

This position helps with event coordination and is on site to support execution for corporate and community events.

Additionally, this position manages the corporate resources and supports corporate engagement programs under Toronto and Region Conservation Foundation (TRCF).


Major Responsibilities:


  • Assist with logistics, coordination and overall event planning for corporate and community events.
  • Liaise with corporate clients and take bookings for employee engagement programs.
  • Assist with obtaining quotes and adhering to TRCA's procurement policy.
  • Assist with the writing of RFQ/RFP's and procurement reports.
  • Prepare agendas and finalize and distributes team meeting minutes.
  • Sources and purchases event supplies for events.
  • Prepare paperwork and obtain permits for special events as required.
  • Process vendor invoices.
  • Organize and maintain corporate event supplies/resources which are bookable by staff. Ensure that the booking system is uptodate and that supplies are returned in a timely manner.
  • Other duties as assigned.

What will you need to succeed:

  • Diploma or degree from a recognized post-secondary institution in Event Planning or Event Management
  • Ontario Driver's License
  • 2+ years' work experience in events and/or marketing
  • Excellent written and verbal communication skills, with the ability to build and maintain positive relationships with staff and clients;
  • Highly organized with superior ability to prioritize, multitask and meet deadlines;
  • Selfmotivated, responsible and strong attention to detail
  • Flexible work schedule: Available to work weekdays, evenings and weekends;
  • Proven ability to work under pressure in a professional manner;
