JOB SUMMARY:


Under the direction of the Director, Facilities Infrastructure and Services, the Clerk performs a variety of service duties including administration of the equipment maintenance database, unit scheduling, and records maintenance related to the operation of the Facilities Infrastructure and Services Unit.


RESPONSIBILITIES:

  • Administration of the equipment maintenance database including gathering, reviewing, entering, updating, and deleting information as required.
2 Preparation of schedules, allocation of work and monitoring open maintenance tickets used by Facilities Infrastructure and Services staff. In the absence of the Cleaning Services Supervisor, the Clerk may be asked to be the onsite contact and decision maker for contractors (i.e. - clarifying work, notifying staff, providing access, and dealing with safety issues)

  • Clerical support for scheduling and reporting function in Dayforce.
  • Clerical support to the unit including organization and maintenance of electronic and paper records, preparation of statistical reports, meeting coordination and minutes, etc.
  • Other related duties as assigned.

QUALIFICATIONS:

  • A certificate in Office Administration or a related certificate from a recognized post-secondary institution.
  • One year of related experience.
  • Thorough knowledge of Hippo (RPL Equipment Maintenance Database) and AutoCad (design software) or similar database.
  • Working knowledge of Microsoft Office.
  • Experience working in a facilities infrastructure environment.
  • Demonstrated ability to deliver consistent, high quality customer service.
  • Demonstrated ability to establish and maintain positive working relationships with the public and staff and to work as a member of a team.
  • Demonstrated strong oral and written communication skills.
  • Demonstrated ability to assume responsibility and work independently with mínimal supervision.
