Description

As part of the Facility Operations branch leadership team, the Tenant Services Supervisor provides day to day supervision and leadership of janitorial, security, parking management and other tenant services and service contracts for the Community Centre and other County owned facilities.

This position plays a key role as a tenant's advocate by ensuring the work environment is properly cleaned, secure and safe as well as having a well-managed parking program for staff.

This posting is for 1 permanent full-time position


Responsibilities:


  • Develops contracts for service vendors including janitorial, security, parking services, etc.
  • Assists in the development, maintenance and ongoing training of emergency plans
  • Supervises a team of contracted service vendors and ensures contract requirements are met
  • Develops business reports, standard operating procedures, and contract changes to meet changing needs and client requests
  • Develop and manage a strong operating team of contracted service vendors through performance measurement, mentoring, training and guidance
  • Provide customer services through anticipation and response to internal and external client expectations
  • Works with the Capital Projects branch to coordinate renovations/system upgrade for larger tenant improvements
  • Facility Planning; assist with accommodation planning and tenant move management
  • Manage services to the library, art gallery and private tenant leases to ensure they receive the service require to operate properly
  • Assist in the development of annual operating and capital budgets
  • Examines processes and services to increase efficiency, reduce costs and capitalize on opportunities for improvement
  • Works with facility operators to resolve problems involving facility mechanical, electrical, fire, safety and security systems
  • Implements and monitors parkade and street level parking program and ensures parking equipment and enforcement procedures are actively in place
  • Conduct after hours inspections and training of evening janitorial and security services as to expectations, unique building requirements and adherence to corporate security and Occupational Health and Safety requirements
  • Provide routine communication for building events, maintenance activities and items impacting tenant operations
Skills and Abilities

  • Knowledge of facility operations, tenant relations, and understanding of property management accounting practices including operational and capital budgeting
  • Knowledge of janitorial, security and commercial parking practices, programs and administration
  • Proficient with Microsoft Office Suite and computerized building management systems
  • Excellent communication, organization and time management skills and ability to deal with multiple and changing priorities
  • Ability to work independently with a minimum of supervision
  • Strong leadership and supervisory skills to lead and motivate a team and meet customer needs
  • The ability to perform physical labour and able to work in a variety of work environments

Qualifications:


  • A certificate in Real Property Administration (RPA), Certified Facility Manager (CFM) or Business Administration with 4 years of related experience in a supervisory position as a contract administrator working within a real estate portfolio
  • Formal training in Facility Management through the BOMA (Building Owners and Managers Association) or IFMA (International Facility Management Association)
  • Knowledge of audiovisual systems and event planning is considered an asset
Conditions of Employment

  • Submission of a Satisfactory Criminal Record Check as well as ability to obtain an RCMP Enhanced Reliability Security Clearance
  • Valid Alberta Class 5 Driver's licence and submission of a 5year Driver's Abstract with less than 7 demerits
Equivalencies of education and experience may be considered.
