Facilities Support Officer

Salary Range:
$47,669.38 to $64,493.87


Location: 205 Henlow Bay Campus

Monday to Friday, 8:30 am to 4:30 pm (35 hours/week)


Under the direction of the Senior Manager, Facilities Management, the Facilities Support Officer will play a crucial role in facility operations, providing support and administrative functions, to ensure smooth day-to-day operations and efficient utilization of resources.


Responsibilities include but are not limited to:

  • Develop and maintain a centralized filing system and database for warranties, contracts, plans and specification, permits, compliance records, and other related facilities documents, including a tracking system for renewal of facilities contracts.
  • Maintain the Facilities maintenance program using the computerized maintenance management system (Hippo FM), including but not limited to:
  • Create new work orders as needed for maintenance and repairs
  • Prioritize incoming work orders
  • Assign work requests to the appropriate staff member
  • Provide timely feedback to system users that submitted work orders (MITT staff)
  • Communicate with the Maintenance team regarding work orders
  • Update completed work orders with time and material costs
  • Run reports and audits within the system when requested
  • Find opportunities to streamline process, and include added features of the program
  • Assist with interdepartmental communications, notifications and scheduling of work.
  • Assist in developing and maintaining a centralized inventory of assets and equipment.
  • Assist in creating systems to track and maintain processes and work schedules.
  • Maintain a centralized maintenance billing and invoicing process.
  • Generate and monitor purchase orders.
  • Respond to finance/account payable queries.
  • Schedule meetings, appointments, and facility inspections.
  • Order and maintain office and facility supplies.
  • Respond to inquiries and requests from internal stakeholders and external vendors.
  • Maintain and update status reports; monitor and followup on action items for the Facilities Maintenance leadership team.

Required Qualifications and Experience:


  • A combination of related education and experience may be considered._
  • Diploma or certificate in Business Administration or related field.
  • Certificate or training in CMMS or other maintenance systems, considered an asset.
  • Minimum of 3 years of experience in facilities management, construction industry, administrative support, or a related field.
  • Experience using Microsoft Office Applications e.g., Word, Excel, PowerPoint, Outlook.
  • Experience creating forms, spreadsheets, and using software to track assets, work and processes.

Preferred Qualifications and Experience:


  • Experience with HIPPO Facilities Management System considered an asset.
  • Working knowledge of maintenance programs.
  • Working knowledge of Facilities maintenance responsibilities.
  • Working knowledge of Microsoft Forms, Teams and scheduling software.
