Purpose:


The Faculty of Liberal Arts and Professional Studies (LA&PS) is the largest Faculty at York University with over 23,000 undergraduate and graduate students, and almost 100 programs delivered through 24 Departments, Schools and Colleges, plus the IBM Markham Learning Site.

Reporting to the Operations Manager, the Graduate Program and Admissions Assistant role supports the graduate programs by providing additional support to the Graduate Program Assistant require including administrative support and guidance to the Graduate Program Director (GPD), faculty and students, on University, Faculty and Unit policies, procedures and regulations.

In addition, the role provides continuity, historical perspective, and transitional support to GPDs during the term appointments. The role is also responsible for the admissions process for the undergraduate and PhD program, Bachelor of Social Work.

Education:


College certificate in Office Administration or an equivalent of 2 years recent experience (defined as within the last three years) working at York University and performing the same or similar tasks.

This education equivalency is in addition to the experiential requirements outlined below.


Experience:


Three (3) years of administrative experience in an academic School/Department, including supporting academic and administrative processes and activities, providing degree and certificate information to students, and customer service.

Some knowledge of graduate program degree requirements and/or processes including admissions is required. Demonstrated experience in the development and preparation of promotional materials and written content is preferred.


Skills:

Ability to deal courteously and effectively with people. work independently as well as an effective member of a team.
Effective oral communication skills to elicit and provide accurate information in a clear and concise manner including active listening.
Ability to exercise the skills of good judgment, tact, diplomacy, and initiative.
Effectiveness in attending accurately to details.
Excellent organizational skills are essential to simultaneously handle conflicting priorities.

Ability to work efficiently and effectively in a complex, rapidly changing high volume environment, including the ability to multi-task, set priorities and meet deadlines.

Good written communication skills including the ability to source and summarize information. minute taking.
Keyboarding 40-45 w.p.m., accuracy is essential.
Ability to use software to update websites (e.g., WordPress or Contribute).


Additional Knowledge required:
Knowledge of academic administration processes
Basic knowledge of York's Academic Honesty procedures.
Knowledge of degree and program requirements.
Proficiency with on-line student records system (SIS) or a similar on-line database. familiarity with ADM and GEM would be an asset.
