Explore Waterloo Region is looking for a Manager, Membership & Administration to join our team to backfill a maternity leave absence for up to one year.


Reporting to the Chief Executive Officer, the Manager, Membership & Administration is responsible for the execution of tactics associated with the Membership Strategic plan, as well as oversight for organizational administration needs and platforms.


Primary Objectives:


  • Ensure membership continues to grow and benefits are clear and valued
  • Each sector of the industry is wellrepresented
  • Educational content for membership is timely and relevant
  • Membership website is wellmaintained
  • Ensure CRM is maintained with uptodate member and customer data

Responsibilities:


Membership

  • Execute membership retention and growth strategy
  • Ensure all new and interesting venues, attractions, accommodation are represented
  • Ensure membership listings/photos are up to dates/relevant
  • Execute EWR educational series as set out on the schedule, ensure presenters are aware of dates, create presentations, send out registration forms and follow up information upload content to member portal
  • Annual direct outreach to each individual member to ensure they are using all relevant assets/tools available to them
  • Working with Director of Special projects, create product packages that will inspire sales throughout the year leveraging new member partnerships
  • Produce quarterly board update on Membership division

Administration

  • Working with the CEO, plan the annual AGM and any other member events
  • Oversee the performance of organizational platforms such as Monday, IDSS, BambooHR
  • Pick up mail weekly and process as required
  • Maintain member listings on consumer site
  • Full responsibility for new Membership site for industry
  • Maintain and manage inventory of storage unit and company equipment
  • Manage HR postings and interview set ups for directors
  • Work with CEO on maintenance of Balanced Scorecard framework creation/monitoring of results

Requirement Knowledge, Skills and Abilities:


  • Postsecondary education or equivalent combination of education/experience in office administration and/or project management
  • Minimum 5 years sales experience in the tourism industry
  • Clear knowledge of Waterloo Region
  • Proven communication skills
  • Flexible, adaptable, and willing to travel around the region
  • Understanding of DMO role
  • Proficient in Microsoft Suite
  • PowerPoint, Excel, Word, Outlook
  • Project Management experience
  • Driver License required

Responsibilities - percentage of time spent on each activity.

  • 25% Building solid relationships with membership with oneonone outreach
  • 20% create/manage quarterly educational webinar series
  • 25% creating website/managing listings/creating programming
  • 10% Event planning, conference calls, staff meetings.
  • 20% Other
- admin functions, CRM updates, reports on DMO metrics, BSC work, other platform updates
