Why is this role important?

  • The Project Assistant is responsible for supporting stakeholder engagement and project work streams activities for the Pan-Canadian Organ Donation and Transplantation (ODT) Data and Performance Reporting System.
  • The Project Assistant assists with the coordination of stakeholder engagement activities including maintaining member lists, and planning logistics for external meetings and preparing meeting material for distribution. Additionally assists in coordinating the dissemination of project related materials to stakeholders and assists with developing status reports, communications and promotional materials including the webpage updates, and internal and external presentations. Working with other team members, the Project Assistant is also responsible for providing assistance to developing project artifacts including reference manuals, topicbased information sheets and adhoc project material.
  • What you'll do
  • 1. Responsible for monitoring the electronic mailbox and coordinates timely responses to stakeholders. This includes triaging queries and communications to appropriate project team members.
  • 2. Coordinates with Central Client Services in the maintenance of panCanadian stakeholder contact lists, including updates to the stakeholder contact information and distribution lists in the corporate Client Relationship Management (CRM) system; communicates any issues or discrepancies to the project team and Central Client Services.
  • 3. Assists with coordinating the distribution of materials and/or reports to stakeholders and materials for meetings of various internal and external committees, stakeholder groups and workshops. This may include liaison with other CIHI support areas (Creative and Language Services, Digital Content Channel Management, etc.)
  • 4. Assists the project team to develop and factcheck project artifacts including reference manuals, topicbased information sheets and adhoc project material.
  • 5. Participates in meetings and assists with minute taking, as required.
  • 6. Assists with a range of project related duties, as assigned.
  • What you'll bring to the table
  • Undergraduate degree in Health Sciences, Business Administration, Social Sciences, Communications or related field.
  • 2 years related experience.
  • Ability to learn new concepts, ideas and assimilate information quickly and accurately.
  • Experience in establishing and maintaining relationships with stakeholders.
  • Strong organization and time management skills.
  • Basic understanding of information management tools and processes.
  • Excellent written, oral communications skills and attention to detail.
  • Ability to work with mínimal supervision and in virtual environment as well as integrate with the team.
  • Experience in identifying, establishing and/or continuously improving administrative and project/program management processes to improve efficiency and effectiveness.
  • Fluency in both official languages is an asset.
