Job Summary:


Reporting to the Manager, Supply Chain Operations, the Purchasing Clerk will support the creation and administration of purchase orders from internally approved purchase requisitions, contract updates, payment certificates, customs brokerage invoices and prepare assigned reports.


Duties & Responsibilities:


  • Provide support to Halton staff through the review, creation and issuance of purchase orders from internally approved purchase requisitions.
  • Prepare and analyze reports including low value purchase orders, goods receipts/invoice receipt comparison, procurement statistics and open purchase orders.
  • Administer Customs Brokerage invoicing clearance.
  • Support with vendor summary billings.
  • Administrative support for ordering of office supplies.
  • Administration of payment certificates on behalf of various departments within the Region.
  • Liaise with different end users to complete contract updates and address issues with Accounts Payable.
  • Provide purchase orders and other related documentation to vendors and/or staff.
  • Perform all duties in accordance with the Region's Procurement Bylaw 6323 and internal procedures and processes.

Skills & Qualifications:


Essential

  • Postsecondary education in a related field along with a minimum of two (2) years of relevant experience.
  • Intermediate knowledge and experience working in Microsoft Office and SAP to enter data and prepare reports using SAP and Excel.
  • Understanding of basic accounting principles and procurement practices.
  • Effective written and oral communication skills, attention to detail, good judgment, and problem solving.
  • Ability to work effectively in a team environment.
  • Strong organizational and time management skills, basic negotiation skills.
  • An equivalent combination of education and experience will be considered.

Preferred

  • A certification from a Procurement or Supply Chain Program (OPBA, NIGP, SCMA), or working towards a certification, is an asset
