The Purchasing Department keeps the hotel - especially food & beverage - running and the food cost as low as possible.

He or she will research prices and buy the items needed based on best prices commensurate with quality and/or volume, communicating and negotiating with vendors and outsides sales representatives regarding rates, vendor discounts and incorrect orders.

Keeping meticulous records of what is ordered, used, etc. is also a key component of the job.

In the role of
Purchasing Manager you will:

Be Detail Oriented - keep detailed logs/financial records of the items ordered, received and stored as well as what is used to ensure controls, costs and an appropriate level of supplies is in place for each hotel department. Date all food received and rotate (first in and first out) to ensure utilization of oldest product first. Maintain and organize the hotel's storage facilities with the support of the shipper/receiver (if any) and implement needed key controls regarding the procurement and accounting of goods and services. Forecast operational needs and schedule deliveries appropriately.

Be the Inspector - inspect the grade and quality of all deliveries to ensure compliance with order specifications (including compliance with all franchise as well as New Castle Hotel's purchasing requirements), accepting or refusing the delivery as appropriate. Participate in with monthly inventory process, notifying the controller of any variance in par stock.

Be a Service Star - issue goods and supplies as needed, adhering to the Requisition SOP to ensure timely/accurate delivery to all departments. Review BEO's and consult with various team members to ensure you have a firm understanding of the hotel's needs so you can make the best purchasing decisions. Manage any staff that you may have - from hire to separation - so they are part of a great team effort.

Be a Clean Guru - ensure your team maintains high sanitation standards for the storeroom, walk-ins, refrigerators, freezers and loading dock area to be in compliance with health and safety regulations. Report any non-functioning equipment for repair to engineering ASAP.

Be a Safety & Security Agent - follow your hotel's established safety and security policies & procedures as well as all OSHA guidelines.
