***: Ontario Structured Psychotherapy (OSP) aims to increase access to publicly funded, evidence-based Cognitive Behavioural Therapy (CBT) and related approaches for Ontarians with depression, anxiety, and anxiety-related conditions. Ontario Structured Psychotherapy West Region (OSP West) is jointly operated by St. Joseph's Healthcare Hamilton (SJHH) and St. Joseph's Health Care London. For this position, the successful applicant will be employed by SJHH.
This position provides administrative support services for the Ontario Structured Psychotherapy (OSP) as the front desk receptionist. The incumbent greets and registers clients, schedules client appointments, and performs general administrative duties. The incumbent ensures all related duties and responsibilities adhere to the policies and procedures of the hospital. This position will be required to work out of the OSP office located at 1 King Street.


QUALIFICATIONS:


  • Grade 12 diploma or equivalent, and a minimum of a twoyear College diploma in Medical Office Administration
  • Minimum of 2 years' experience providing administrative support within a busy, multidisciplinary Mental Health Care facility, with demonstrated knowledge of the Mental Health Act
  • Intermediate level of skill in MSWord, MSExcel and PowerPoint
  • Medical terminology certificate, with focus on psychiatric terminology
  • Ability to communicate effectively and tactfully, both in person and by telephone
  • Ability to perform well as a contributing member of a team
  • Good organization skills, with ability to set own priorities and work with mínimal supervision
  • Maintain excellent interpersonal relationships while handling multiple tasks, frequent interruptions and stressful situations
  • Demonstrated commitment to the values of Service, Responsible Stewardship, Community Responsiveness and Respect
  • Good work performance and attendance record is essential

RESPONSIBILITIES:


  • Registers clients, ensuring that all pertinent client data is entered in the medical information system accurately and efficiently.
  • Schedule client appointments, including intake assessments within central intake, and initial treatment sessions at Service Deliver Sites (SDSs) within the OSP West network.
  • Set up and enter client information into the electronic medical record.
  • Ensure completeness of referrals by following up with referral source/client to obtain missing information.
  • Transcribe referral data into appropriate databases (e.g. referral management tool, measurementbased care tool).
  • Monitor, track, and document client progress through the intake and triage process and followup with client and/or referral source as needed.
  • Maintain program waitlist(s) and referral queues and contribute to waitlist management initiatives.
  • Manage communication with clients/family and referral source(s) regarding wait times.
  • Support intake team in communicating intake/triage information to clients, referral sources, other healthcare providers and community/network partners, as required.
  • Support and/or facilitate the secure transfer of clinical information to/from/within OSP West network and other OSP services (e.g. BounceBack).
  • Coordinate requests and schedule language interpretation services, as required.
  • Communicate appointment information to client and/or referral source(s).
  • Maintain accurate and timely documentation related to scheduling and reminder calls in appropriate databases/systems.
  • Performs patient followup for any missed appointments.
  • Ensures all supplies required by the program are adequately stocked and reordered and maintenance work orders are monitored and handled in a timely manner.
  • Obligation to review and commit to applicable departmental and hospital policies and procedures.
  • Provides support to other administrative support staff as required and assists with other activities assigned by the Manager and Clinical Network Lead.
