Position Description:


  • Are you looking for a challenging and rewarding position where you can utilize your organizational, communication, and time management skills? If you are, then we have an opportunity for youReporting to the Business Operations Manager, Department of Paediatrics, The Division of Paediatric Medicine at SickKids is looking for a bright and energetic administrative coordinator to fill a 20 month leave. This position will provide administrative and operational support for our Complex Care program from general administrative duties, to helping onboard and schedule students. In addition, you will be supporting the Medical Director of our Complex Care Program who also is the Medical Officer for Integrated Community Partnerships and is the Clinical Lead for Ontario Health GTA Region. You would be assisting this physician in all aspects of their work both here at SickKids and externally. This position is a hybrid role both onsite and work from home.

Here's What You¿ll Get To
Do:

Administration

  • Maintain physician calendars and ensure that they have required meeting materials
  • Attend committee meetings, record and transcribe minutes
  • Schedule and coordinate meetings using judgment to reschedule according to changing priorities
  • Maintain CV, CCV, and other professional academic CVs as required
  • Update biosketches
  • Order office supplies as required for division office and research staff

Education

  • Overall coordination of all matters related to the education program for Complex Care
  • Manage and coordinate appointments and reappointments for the Education Program and trainees
  • Organize and coordinate conferences and events pertaining to the Education Program
  • Handle all inquiries and correspondence related to the Education Program
  • Prepare orientation packages for all trainees
  • Manage schedules and organize meetings

Research
- provide REB support through creating submission, coordinating internal peer review, keeping track of renewal and expiry dates, follow up on approvals
- support grant process from submission to award receipt and final report


Human Resources and Finance

  • Support Human Resource functions
  • Coordinate onboarding and orientation of research staff, volunteers and students
  • Manage expenses, process purchase orders, invoices and reconcile corporate credit card expenses
  • Review financial reports on a quarterly basis, financial forecasting and monitor expenses to ensure they are aligned to each budget
  • Schedule and book meeting rooms, organize catering, attend meetings, distribute agendas and prepare minutes when required
  • Followup on action items from meetings
  • Arrange travel, accommodations and prepare itineraries for workrelated travel
  • Manage processing of travel reimbursements and related expenses

Here¿s What You¿ll Need

  • Business or administrative degree/post diploma program or related field or a combination of education and related experience
  • 23 years of administrative experience either in hospital or university setting is preferred
  • Proactive and positive attitude, with excellent problemsolving skills
  • Team player with excellent interpersonal and communication skills
  • Demonstrated high level of judgment, tact and diplomacy in interacting with a wide variety of staff members and external partners
  • Ability to handle a fastpaced, dynamic work environment with many interruptions and competing priorities
  • Exceptional organizational skills and ability to work independently, as well as in a team environment
  • Proficient in Microsoft Office Suite (Outlook, Microsoft Word, Excel, PowerPoint, OneDrive, SharePoint), Adobe Professional, reference management software
  • Proficient in hospital software/databases is an asset
  • Demonstrated commitment and actions in advancing equity, diversity, and inclusion objectives
