By ensuring the appropriate security is in place for the systems we administer, our goal is to maintain the integrity and accuracy of student information throughout the student lifecycle while providing exemplary customer service.

As well, by continuously improving our PeopleSoft Higher Education, Laserfiche, and other systems, our goal is to enhance the student experience and the efficiencies of our processes.


Responsibilities:


The Security and Structure Specialist is responsible for the maintenance and management of the security module within the PeopleSoft Higher Education environment and the security of various other systems that support Western's academic and service mission.

The Specialist ensures quality of services and completion of short and long-term objectives to meet the University's goals and enhance the student experience.

The Security and Structure Specialist also provides policy and procedural advice to the Director of IT, other Office of the Registrar leaders, and the Student Central team.


The Specialist works collaboratively with the Office of the Registrar Structure Group, the Registrar IT Services team, and the Western Information Systems Group (WISG) to ensure that appropriate controls are in place to manage risks in the various higher education systems that the Office of the Registrar, and Western as a whole, utilizes, including PeopleSoft.

The Specialist plays a key role within the Office of the Registrar to ensure efficiency, accuracy, and continuity of operations.

In addition, the Security and Structure Specialist coaches and trains staff and is a key consultant for faculties and units within the university in terms of system and data security.


Qualifications:


  • Education:
  • Bachelor's Degree, preferably in Computer Science, Business, or other quantitative discipline with a strong systems orientation
  • Experience:
  • 3 years' progressive experience working with a PeopleSoft Higher Education system
  • 2 years' experience working in a postsecondary environment
  • Experience overseeing staff and projects
  • Experience delivering training sessions and making presentations is preferred
  • Experience in a help desk/systems support role is preferred
  • Knowledge, Skills & Abilities:
  • Demonstrated excellent oral and written communication skills to effectively interact with technical and non-technical users and confidence dealing with all levels of an organization
  • High degree of professionalism and diplomacy with outstanding ability to work effectively and efficiently with internal and external clients
  • Excellent troubleshooting ability along with handson experience in technical support
  • Critical thinking skills to analyze problems and collect information required to make an accurate conclusion
  • Ability to maintain a high level of individual and team performance
  • Advanced skills in Microsoft Excel; intermediate skills in Microsoft Word, and PeopleSoft Query
  • Resourcefulness with a strong sense of accountability and initiative
  • Demonstrated ability to successfully manage multiple competing priorities, set both long and short term goals, and to adapt quickly to emerging priorities
  • Judgment, analytical and problem solving skills with a consultative and collaborative approach to addressing issues and opportunities
  • Familiarity with FIPPA regulations and working knowledge of secure data transfer protocols
  • Exceptional organizational skills with strong attention to detail
  • Demonstrated data management and database reporting skills preferably with PeopleSoft Higher Education or similar database systems
