The Administrative Assistant provides administrative support to the Public Works department and serves as the department's front-line contact with the public.

This position is responsible for providing administrative support for all public works programs, activities, and services, including preparing, processing, scheduling, and coordinating department activities and programs.


RESPONSIBILITIES

  • Assist the public with inquiries and requests related to the Public Works programs and initiatives. Enter requests into the ticketing system for appropriate department staff to address and complete.
  • Provide administrative support to the department, including but not limited to:
  • Organizing, distributing, and maintaining files including various correspondence, agreements, and permits.
  • Conduct research on various topics by locating historical information, contacting other departments and municipalities, and searching appropriate internet sources.
  • Meeting and event scheduling, preparations, and arrangements such as facility bookings, catering, and technical requirements.
  • Scheduling and coordinating department meetings, preparing meeting rooms, booking accommodations, travel arrangements, and training for department staff.
  • Maintain and update all appropriate databases and records for department programs in an organized and userfriendly manner.
  • Provide coverage to Customer Service Desk when required and with supervisor approval.
  • Be a liaison for all County departments about Public Works information.
  • Coordinate and maintain the oncall schedule.
  • Preparing land agreement documents for pipeline crossing requests, land acquisitions, back slopes, borrow pits, rightofentry, and road cancellations in conjunction with the Director of Public Works and Infrastructure, Project Manager and Construction Supervisor. Including registering and discharging all related caveats with Land Titles office.
  • Maintain all files for lease agreements (REC, MLL, SML) between the County and the Province.
  • Assist Corporate Services with coding and job costing invoices, creating purchase orders, and processing cheque requests.
  • Accountable for working in compliance with the _Alberta Occupational Health and Safety Act,_ regulations, and codes, and participates in the Health and Safety Program.
  • To undertake any other reasonable duty, commensurate with the classification and responsibility of the position, across the department to meet service priorities and business continuity requirements.
  • May be required in the event of a municipal emergency to support the emergency operations centre and incident action/recovery plan.

COMPETENCY AREAS

Education, Certificates, Licensing, and Designation:


  • A High School Diploma or equivalent is required.
  • A recognized office career training certificate or combination of education and equivalent experience is required.
  • A valid Class 5 Driver's License is required.
  • A satisfactory Five-Year Driver's Abstract is required.
  • Commissioner for Oath designation is an asset, or willing to obtain.

Experience, Knowledge, and Skills:


  • Minimum three years of related work experience is required, municipal or administrative experience is considered an asset.
  • Knowledge of legal land descriptions and map interpretation.
  • Advanced knowledge and proficiency in Office 365 including Word, Excel, Outlook, and Teams.
  • Trustworthy and high ability to maintain confidentiality and professionalism when handling sensitive information.
  • Possess strong written communication skills with detailoriented accuracy.
  • Effective oral communication skills and ability to interact with many different individuals professionally.
  • Timemanagement skills and the ability to prioritize and complete multiple tasks within deadlines.
  • Selfmotivated with a strong work ethic and ability to work with mínimal supervision.
  • Ability to research information and provide written summaries of research results.
  • Ability to remain focused and task orientated in a distracting environment, with frequent interruptions.

COMPENSATION AND CLASSIFICATION

  • Fulltime, Permanent
  • Work schedule is 37.5 hours per week, Monday to Friday
  • Hours of work are 8:00 am to 5:00 pm with a onehour lunch break
  • Flex days are earned time off, one paid day off every third week
  • Starting salary range is $60,170 to 68,194 (Salary Grid 3)
  • Nonsupervisory
