We are looking for an exceptional
Administrative Assistant to join our team.
Duties:
- Assist the Executive Assistant to the Executive Chairman with daily administrative tasks that include managing an active calendar of appointments, keeping track of tasks, screening and directing calls, arranging travel plans for the Executive Chairman, compiling documents for meetings, etc.
- Arrange Board meetings and all required logistics including preparation and distribution of meeting materials and taking minutes in meetings.
- Assist with managing the Chairman's schedule and prioritizing competing demands.
- Assist with establishing and managing Google Drives for the Chairman, 369 Global Inc., etc.
- Order office supplies and maintain appropriate inventory.
- Liaise with vendors, clients, and subcontractors, etc.
- Assist Human Resources with special projects and training initiatives.
- Research and prepare briefing materials, presentation, brochures, correspondence, reports, etc.
- Participate in planning, coordinating, and executing both simple and complex projects as well as other projects as assigned.
- Assist with conducting research on prospective business partners and clients.
- Work in tandem with management team and staff across the organization.
Qualifications:
- Previous experience in a similar role as an Administrative Assistant preferred.
- Postsecondary education in business administration or a related discipline.
- Excellent planning, organization and coordinating skills.
- Demonstrated experience and the ability to work with a diverse team.
- Superior organizational and time management skills.
- Excellent written and oral communications skills.
- Ability to multitask and prioritize daily workload.
- Ability to maintain discretion and confidentiality.
- Demonstrated proficiency in Google Workspace tools, Microsoft Office (Word, Excel, Presentation, and Outlook).
