Job Title:
Administrative Assistant**
Location: St. John's, NL


Position Type: 1 full-time position to March 31, 2024, with the possibility of renewal pending operational needs and funding approval


Closing Date:

Reporting to the Executive Director (ED), the
Administrative Assistant will provide a high-level of organizational support and enhance the daily operations of the Executive Office.


Roles and Responsibilities

  • Provide direct administrative and office management support to the Executive Office including developing and maintaining an effective filing and documentation management system
  • Support with managing the ED's calendar and preparing files for review aligned with the day's agenda
  • Prioritize and manage multiple priorities and projects with timely followthrough
  • Manage both internal and external requests and queries effectively and professionally
  • Plan and schedule meetings, presentations, and other officerelated events; send reminders regarding upcoming appointments
  • Prepare, edit and/or proofread standard documents for both internal and external communication
  • Liaise with the senior management team on internal matters and follow up on priority initiatives
  • Capture/transcribe meeting notes as requested
  • Maintain a high degree of confidentiality in daily activities
  • Organize and coordinate the setup and breakdown of meeting rooms including the board room calendar, catering, and IT requirements
  • Other general administrative duties

Qualifications and Experience

  • Postsecondary degree or diploma in Office Administration, Business, or related discipline or any combination of education and experience
  • 1 to 3 years of experience managing a busy office environment
  • Demonstrated initiative and proactive in coordinating the requirements of the Executive Office
  • Independent thinker; takes initiative in office management and coordination
  • Excellent written and verbal communication skills appropriate for external stakeholders and partners
  • Confidentiality is built into the applicant's work ethic
  • Exceptional interpersonal skills and the ability to build strong working relationships within the organization and externally
  • Superior organizational and time management skills with great attention to detail
  • Indepth knowledge and experience in Microsoft 365 and Google Workspace is essential

Conditions of Employment

  • Legal authorization to work in Canada.
  • Flexible to work outside of standard core hours (Monday-Friday, 9 am 5 pm)
