Fred Welsh Ltd. team in conjunction with Trotter & Morton Ltd. (FWL-TM) is looking for an Administrative Assistant to join our team in Duncan British Columbia.

This position involves duties of moderate complexity and requires a sound knowledge of departmental procedures, as well as judgment and initiative.

On-going activities might include: providing administrative and clerical support, filing, invoice documentation control, printing and circulating reports.


Roles and Responsibilities:


  • Refer all inquiries to the appropriate individuals, divisions or departments across the organization
  • Forward call centre messages to appropriate staff members
  • Receive and distribute all forms of paper correspondence including faxes in a timely manner
  • Drafts, edits, formats, organizes, prioritizes, assembles, files and/or distributes documentation and forms to avoid delays and ensures that reports and other documents are sent to customers before the established deadlines
  • Provides assistance to the staff within the department by processing project correspondence
  • Scan and validate incoming invoices and distribute them to the appropriate staff
  • Organize, maintain and assist in compiling data for various reports
  • Assist with reports, letters and special projects
  • Perform other duties as required

Required Skills:


  • Strong organizational and time management skills, with the ability to prioritize and organize multiple concurrent assignments
  • Strong computer competency, especially in the Microsoft Office Suite
  • Excellent ability to collaborate within crossfunctional teams
  • Strong attention to detail
  • Excellent verbal and written communication skills
  • Ability to problem solve
Required Experience

  • High School Diploma or equivalent
  • Completion of a 1year college or other program for administrative assistants or business administration
  • Minimum 2 years' experience in an administrative role
