Description
The Sales Co-ordinator will provide support to the Director of Sales & Marketing, Sales Managers and the General Manager.

The Sales Coordinator is responsible for sales department activities, including supervising contracts, driving sales revenue, managing customer and vendor relations, and administrative tasks.


ESSENTIAL FUNCTIONS

  • Assisting in answering all incoming inquires to the sales office.
  • Assist Director of Sales & Sales Managers in the development of strategic plans, contracts & proposals for the sales function; administer practices and procedures to enhance operations.
  • Maintain contracts and relations with major accounts, outlets, wholesalers, vendors, and other distributors/business partners.
  • Act as liaison to other business units for completion of daytoday administrative and operational issues.
  • Work with other departments to ensure that group's experience goes as smoothly as possible i

reservation issues, rebates, VIP's, special billing and any special requests made by the client.

  • Distributing all booking recaps to the appropriate departments (Reservations, Catering, Accounting, and Front Desk).
  • Monitor group pick up in Opera for room lists, call in's, cut off dates and keep Sales Managers and Catering informed.
  • Follow up on a timely manner with the Sales and Catering clients for rooming lists, deposits and VIP clients.
  • Attend meetings, as necessary, to record minutes and copy to all parties.
  • Compile and distribute Monthend reports for the hotel
  • Facilitate the entire process for groups including room and taxes, shuttle service, baggage handling, as well as food and beverage.
  • Settle PM accounts upon group departure, coordinate with accounting on final invoice and process commission payments.
  • Perform other duties as required.

EDUCATION/EXPERIENCE

  • Strong problem identification and problem resolution skills.
  • Ability to create and edit sales materials and presentations.
  • Able to effectively communicate both verbally and in writing.
  • Ability to coordinate and organize meetings, exhibits, and other events.
  • High level of proficiency with Microsoft Office Delphi and Opera
  • Some travel may be required.
  • Able to conduct presentations, and meetings.
