Surface Vessel Program Clerk:
This position provides administrative support for the surface vessel programs including the Minor Warship and Auxiliary Vessels (MWAV) Programs and the Halifax Class Work Period (HCWP) Contract.
Note:
Due to business needs, this position is required to be fully on-site based at Victoria Shipyards - Victoria, BC - 825 Admirals Road
What you'll do
- Designs and produces multiple reports from BI or E1 as requested by management.
- Provides clerical support for bid submissions.
- Provides updates to the master copy of all specifications for a project by incorporating new, revised and cancelled specifications. Builds cover sheets for work instructions and combines with the vital data for distribution to the shop floor.
- Provides project financial and status reports, labour reports including actual to estimated comparisons and general tracking spreadsheets for management, as requested.
- Enters MWAV labour and material budgets in E1 and supervises costs using Excel, E1 and SharePoint.
- Provides MWAV Project Manager with administration support.
- First point of contact relating to MWAV contractual administration (Internal/External).
- Supports the close out of open MWAV POs with outstanding material.
- Generates MWAV work instructions/packages.
- Supports the waste disposal process through validation of PO requirements to vendor procurement documents.
- Supports the office workflow, server folder maintenance and SharePoint maintenance as the need arises.
- Takes and distributes minutes at various internal and clientbased meetings as requested.
- Assists other VSL departments and accepts other duties as required.
What you'll bring
- Grade 1 35 years office experience.
- Diploma or equivalent in office administration.
- 40 wpm keyboarding.
- Proficient with MS Office Suite.
- Knowledge of bookkeeping and main level accounting.
- Strong oral and written communications skills.
- Strong attention to detail, problem solving and analytical skills.
- Ability to work under pressure while being adaptable to change.
- Proven ability to multitask and prioritize.
- Work with mínimal direction.
- Good judgement and reasoning skills.
- Sound knowledge of shipyard practices is an asset.
- Excellent knowledge of the English language, verbal and written.
- Ability to uphold company policies.
