The Families First Administrative Support provides administrative support to the program team members and the Program Lead.
Job Specific Responsibilities:
- Supports general reception duties of the center;
- Provide administrative support to the program's coordinator;
- Coordinate intake triage of referrals, ensuring all information is complete and updated.
- Creating and generating files for new clients admitted to program.
- Supports team and Coordinator in the day to day operating of the program.
- Prepare and review presentations;
- Order program' supplies;
- Schedules and Coordinates all team meetings as well as recording and distributing minutes of meetings;
- Draft, edit, adapt and produce routine correspondence;
- Prepare quarterly statistical reports and documentation submitted to funders;
- Supports members of team in all issues regarding internal communications (newsletter, brochures, signage. etc);
- Coordinates scheduling and reviewing of chart audits.
- Maintenance of data base charting system.
- Generates and maintains internal program statistics.
- Other duties as required.
Qualifications
Education
- post-secondary training in office administration or a related program, or an equivalent combination of experience and education.
Professional Experience
- 3 to 5 years administrative support experience, preferably in a social service organization or nonprofit environment.
Key Competencies
- Website management.
- Database management.
- Proficiency with word processing and desktop publishing software essential, as is knowledge of operating systems and basis system troubleshooting.
- Ability to train and support staff in office computer systems.
Linguistic Profile
- English essential; Bilingualism and other languages an asset.
Salary:
$19.97-$23.49 per hour
