JOB SUMMARY:
The Administrative Services units provide administrative, financial, human resources, information technology, information management and other operational support services to the Offices of the Mayor and Members of Council in accordance with the Municipal Act, 2001.
You are responsible for providing a wide variety of complex and confidential administrative tasks in support of the Council Support Services Unit, and providing other departmental support as appropriate.
Duties and responsibilities include conducting research, compiling documentation and data in support of unit requirements, creating and updating databases, and drafting correspondence to Elected Officials.
You also serve as a point of contact for Elected Officials, the public and city staff for providing an initial response to standard inquiries and directing non-standard inquiries.
EDUCATION AND EXPERIENCE:
Completion of Grade 12
Minimum of 2 years of general office experience with emphasis on reception function
KNOWLEDGE:
- Office practices and procedures, including records management
- Sound knowledge of the branch's programs and structure combined with good knowledge of the department and general knowledge of the city at large
- Knowledge of applicable health and safety legislation, including the rights and duties of workers.
COMPETENCIES, SKILLS AND ABILITIES:
- Utilize computer programs such as Word, Excel, PowerPoint and OrgPlus
- Gather and compile statistical information
- Type accurately at 60 wpm
- Communicate effectively both verbally and in writing
- Use tact, discretion and confidentiality, combined with reliability and good judgment
- Good oral communication skills
- Exercise initiative under general direction
