Learning Operations Coordinator — Daily Structure

Job description
I run a self-directed learning system for two young learners. The curriculum is designed, the books are chosen, and AI tools support the verification. What I need is someone who keeps the whole thing running — daily, reliably, for the long term.This is part operations, part presence. Let me explain both.
𝗧𝗛𝗘 𝗢𝗣𝗘𝗥𝗔𝗧𝗜𝗢𝗡𝗦 𝗦𝗜𝗗𝗘
You will work in Notion
Every day, you:
Prepare the day's learning content based on the curriculum I provide (books, resources, assignments)
Set up tasks and track completion
Log results, notes, and progress
Flag what's falling behind and what's moving well
Keep the workspace clean, organized, and up to date
Send a short daily summary to me
You'll receive the curriculum, the books, and access to AI tools that help verify work.
Your job is to turn that raw material into a structured daily workflow the learners can follow — and then track how it goes.
𝗧𝗛𝗘 𝗣𝗥𝗘𝗦𝗘𝗡𝗖𝗘 𝗦𝗜𝗗𝗘This isn't a back-office role. You'll be connected via video while the learners work. You're in the room — not lecturing, not explaining, but present. When they get stuck, you don't give the answer.
You ask:
"What have you tried so far?"
"Where are you in the process?"
"Is this done, or is this done enough to move on?"
You hold the structure. You hold the standard. You are the steady, calm frame around their day.

3 hours per day to start, evolving to 5 hours as the system matures — 5 days a week
Working hours: 8:00–15:00 Central European Time (UTC+1 / Malta)
Persistent video connection during learning hours
One short weekly sync with me

Comfort with Notion (or willingness to learn fast — it's not complicated)
Ability to take a curriculum outline and turn it into a clear, daily task structure
Organizational reliability — you show up the same way every day, things don't slip through cracks
Patience and emotional steadiness — this isn't a fast-paced environment, it's a consistent one
Fluent English
Common sense and good judgment over credentials and certifications
You don't need to be a teacher. You don't need to know the subjects. You need to be organized, present, and steady.
