Job Purpose:

We are seeking a Receptionist capable of efficiently managing front desk operations, while also
performing various administrative and clerical tasks.


Position Summary:

As the Receptionist, you are the first point of contact for our company and represent the face of our
organization. Your responsibilities include providing administrative support to the organization, warmly
welcoming guests and visitors into the business, and answering and redirecting phone calls accordingly.


Position Requirements:


  • Phone:
  • Answer all incoming calls politely and professionally, ensuring that all callers are directed to the
appropriate associate who can assist in their request.

  • Manage multiple calls and multiple lines simultaneously, while maintaining a polite tone
Reception

  • Monitor Lunch Schedule and Bamboo to remain informed of associate availability
  • Monitor Events Calendar on Connect to stay up to date with all visitors, training, and meetings
  • Greet all guests and assist them in signing in, by the Visitor Policy
  • Inform associates of visitor arrival
  • Receive, sort, and distribute all mail

Administration:

  • Complete daily invoicing process, including sorting between paper and electronic invoices,
  • Responsible for distributing and filing all paperwork
  • Work with customer service reps on investigating paper flow and order issues
  • E-Invoicing through online portals

Office:

  • Kitchen organization/restock order groceries/coffee
  • Order/restock office stationery
**Education, Experience, and

Skills/Knowledge Required:

Education:

High School Diploma (Essential)
Secondary Certificate or Diploma in related program (Desirable)


Experience:

Experience in a receptionist role (Essential)
Experience in a customer focused environment (Desirable)
Experience with invoicing and basic paperwork (Desirable)


Skills/Knowledge Required:
Highly professional verbal and written communication skills (Essential)
Proficiency in English and in MS Office (Essential)
Skilled in multitasking (Essential)
Customer service orientation and negotiation skills (Desirable)
High degree of accuracy and attention to detail (Essential)

Working Environment:


Physical Requirements:
Ability to perform in a variety of positions for possibly extended periods: sit at a
desk for several hours in a stretch; stand at desks/equipment racks for several hours on any given day;
bend, twist, reach, climb (ladders), lift, carry and repeatedly walk as required throughout the day.
