Your superior communication skills, and your ability to professionally juggle competing priorities, make you uniquely qualified for this important role as Executive and HR Assistant.

Reporting directly to the VP of Human Resources, you will provide support to the President & CEO, the CFO, VP of HR and VP Legal.

You exercise good judgement in a variety of situations, always displaying an innate ability to be discreet, professional and action oriented.

You must have the ability to work independently and/or in team environments on projects and must be able to work under pressure at times, to handle a wide variety of activities and confidential matters with discretion.

Responsibilities:


  • Provide highlevel administrative support to the CEO, CFO, VP HR and VP Legal
  • Proactively manage calendars to accommodate shifting priorities and independently schedule meetings.
  • Make travel arrangements and compile itineraries and documents for travel and related meetings. Complete travel expense reports, ensuring accuracy, timeliness and compliance with policies.
  • Compose, prepare and manage confidential correspondence, reports and other complex business documents.
  • Participates as an adjunct member of the Leadership Team including assisting in scheduling meetings and attending all meetings.
  • Takes and distributes minutes at such meetings as deemed necessary.
  • Maintains electronic HR files to ensure compliance with policies and provincial legislation.
  • Maintain organization charts.
  • Manage the Scholarship and Recognition Programs.
  • Prepare Onboarding plans for new leadership talent.

Qualifications:


  • Proven experience as an executive assistant or similar role.
  • Excellent organizational and time management skills.
  • Strong attention to detail and problemsolving abilities.
  • Ability to handle confidential information with discretion.
  • Strong written and verbal communication skills.
  • Budgeting experience with aptitude for detail and accuracy.
  • Strong interpersonal skills and the ability to build relationships with stakeholders.
  • Be adaptable to various competing demands and demonstrate the highest level of customer service and response.
  • Forward looking individual, who actively seeks opportunities for improvement and proposes solutions.
  • Post secondary diploma/degree/ designation in Human Resources and/or Marketing/Business Administration or other related field.
  • Minimum five years of experience in a related administrative, progressive position is required;
