    This process will be used to fill various administrative positions within the Office of the Chief Electoral Officer. Below is a brief description of the main positions to be staffed.

    Electoral Coordination Officer
    Assist in reviewing materials for electoral events.
    Analyze processes from past elections and suggest administrative improvements.
    Assist with training and information sessions for new officers.
    Collect data, create and maintain records, and prepare documents and reports.

    Team Lead
    Support managers in planning future electoral events and special projects.
    Supervise the work of enquiries officers or call centre agents and help resolve issues.
    Monitor incoming calls and social media messages and prepare statistical reports.
    Organize and update election-related reference and training materials.

    Administrative Officer
    Conduct research and gather information on various topics for managers.
    Prepare correspondence, documents and reports, which may include preparing meeting agendas and taking minutes.
    Develop, implement and maintain administrative procedures and practices.
    Provide information and support to managers and employees on administrative requirements.
    Some positions could be in the financial area and could include the following duties:
    Provide support services in financial activities such as preparing financial reports, monitoring compliance and proceeding with data entry in the financial system.

    Field Support Network Officer
    Search and analyze information from websites and other information sources and prepare responses to complex inquiries.
    Summarize and input information to the management system and contribute to the development and review of procedures, processes and tools.
    Provide ongoing operational guidance and coaching to staff.

    CENTRAL, MODERN AND UNIQUE OFFICES
    Depending on your position, you will work in one of our offices in Gatineau or Ottawa.

    Our building at 30 Victoria Street in Gatineau is in the heart of downtown. It has modern facilities, with collaborative work spaces, indoor parking and several restaurants nearby. There's also a locker room, shower room and secure indoor bike space that can be accessed from outside. You can take advantage of the 300-kilometre-long bike path.

    The warehouse at 440 Coventry Road in Ottawa is the workplace of our Alternative Voting Methods team. It also houses our Distribution Centre. There are many benefits to this location as well, such as free parking, easy access to public transit and reserved bike space. Plus, the St. Laurent Shopping Centre, just next door, offers a variety of amenities.

    Intent of the process

    The intention of this process is to staff bilingual term and temporary (casuals) positions.

    A pool of qualified bilingual candidates will be established to fill positions at the same or equivalent group and level at the Office of the Chief Electoral Officer with varying tenures (such as indeterminate, term, casual).

    EDUCATION
    Secondary school diploma or an acceptable combination of education, training and/or experience.

    EXPERIENCE
    Experience in providing administrative support services*.

    *Administrative services include but are not limited to: managing schedules, planning and organizing meetings or teleconferences, preparing and filing records for meetings and related documentation, establishing and maintaining filing systems, data entry, paying invoices, preparing hiring documents, obtaining office equipment or supplies, assembling, receiving or shipping forms or supplies and other related tasks.

    AND

    Experience in providing client services**.

    **Client services include but are not limited to: answering client calls or emails, providing information to clients via social media or other communication channels, providing assistance to clients, serving the public, etc.

    Bilingual - Imperative(BBB/BBB)
    This selection process intends to staff bilingual positions ONLY. Candidates will need to be evaluated in their second official language (French or English).
    Some positions may require the Bilingual - Imperative (CBC/CBC) linguistic profile.

    ASSET QUALIFICATIONS
    A1- Experience in using Microsoft Excel or other similar spreadsheet software such as OpenOffice, LibreOffice, or Google Sheets for data entry and spreadsheet manipulation.
    A2- Experience in providing human resources services (for example : staffing, compensation, talent management and learning).
    A3- Experience in providing financial services.
    A4- Experience in analyzing and researching information in an academic or professional setting.
    A5- Experience in supervision.
    A6- Digital competency.
    A7- Ability to use Microsoft Excel, Word and/or PowerPoint.
    A8- Ability to mobilize team members.

    ORGANIZATIONAL NEED
