Position summary


The Program Administration Team Lead leads the Online and Continuing Education administrative Team in managing the operations of course and program delivery.

The incumbent will have overall responsibility to lead the administrative direction and control, developing and maintaining procedures and business processes, developing and maintaining team protocols, delegating and prioritizing workflow for team members.

This role will draw upon a comprehensive understanding of best practices in continuing education, continuing education registration systems, and UofA policies and procedures.

This position will collaborate with internal and external stakeholders, to deliver high-quality continuing education programs to a diverse range of learners.

**Duties

  • Manage and lead the operational team to provide course and program delivery
  • Act as a change leader to review and recommend changes in relation to administrative policy and procedure changes, strategize and determine implementation plans, and delegate action items to appropriate staff
  • Oversee the development of consistent processes, drawing on their expertise and experience in best practices for continuing education
  • Anticipate business impacts of proposed operational changes and develop strategies to leverage associated opportunities
  • Manage administrative budget that reflects operational requirements of the unit
  • Monitor course enrollments. Determines when courses are cancelled related to direct costs, or waitlist created. Recommend to program coordinators to add additional course sections, increase course capacity
  • Manage and support student record keeping (ensure students records are accurate i.e. grades, program completion)
  • Consult with OCE team to develop efficient and seamless procedures and student data management policies
  • Collaborate with other units across the university to support their continuing education administrative needs as required
  • Identify gaps in delivery models and strategize to find solutions
**Minimum Qualifications

  • Baccalaureate degree
  • Experience in a post secondary educational setting working directly with continuing education students
  • Knowledge of University policies and procedures, especially in the areas that relate to student engagement and registration; experience with student administration system technology (PeopleSoft, Campus Solutions
  • Continuing Education) preferred.
  • Experience leading a large diverse team
  • Ability to manage and facilitate relationships between different groups
  • Ability to handle difficult situations with patience, diplomacy and sensitivity
  • Excellent verbal and written communication skills and the ability to work well in a studentfocused environment with multiple demands made on time and resources.
  • Demonstrates initiative, resourcefulness, and willingness to accept responsibility; ability to work well under pressure and meet deadlines

  • Interpersonal, organizational and time management skills required with demonstrated accuracy and attention to detail.
  • Demonstrated experience implementing initiatives to support and maintain equity, diversity and inclusivity in interactions with students, instructor, and colleagues
