African Nova Scotian Justice Institute (ANSJI) is seeking an Executive Assistant for their team.
JOB SUMMARY:
ANSJI is looking for an Executive Administrative Assistant to provide support to the Executive Director, manage office tasks, and assist in organizing meetings and events.
Reporting Structure:
The Executive Assistant will report to the Director of Operations while supporting the Executive Director.
Key responsibilities of the Executive Assistant:
- ANSJI office coordination and administration;
- Preparation of meeting agendas, documents, and reports;
- Recording meeting minutes;
- Managing the Executive Director's calendar;
- Drafting documents and correspondence;
- Assisting with office financial records and budgets.
Qualifications and Skills:
- Demonstrated knowledge of African Nova Scotians and community issues;
- Excellent organizational and communication skills;
- Degree or diploma in office administration;
- 3+ years of relevant experience preferred;
- Previous government or non-profit sector experience;
- Proficiency in Microsoft Office and technology;
- Ability to work independently and handle confidential information professionally;
- Proficiency with office equipment.
Criminal Record and Vulnerable Sector Check:
Applicants need to provide a Criminal Record Check before employment.
Compensation & Terms of Employment:
The position is a 2-year contract with a salary range of $40,000-$55,000 yearly. ANSJI is open to discussing additional arrangements.
Hours of Work:
Typically Monday to Friday 8:30-4:30pm with occasional evening and weekend work.
Holidays:
- Holiday pay as per Nova Scotia Labor Standards Code;
- Additional holidays subject to approval.
Vacation:
15 days of vacation per year with designated shut down periods.
Probation Period:
3-month probation for successful candidates.
Pension and Benefits:
- RRSP matching after probation;
- Benefits eligibility after probation.
