OVERVIEW:


The Executive Assistant is responsible for providing comprehensive support to the President and assigned Executives, and, serving as a liaison to the Board of Directors.

Additionally, it is expected the Assistant complete general admin tasks to support general office, such as ordering of coffee, setting up and cleaning all meetings, ordering of employee business cards, name tags, etc.

We are looking for a strong multi-tasker, a detail oriented professional with experience as a Administrative Assistant to support our team.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


Effectively manage the President's schedule to provide the most strategic and efficient use of the President's time at meetings and events, and to ensure that he/she is appropriately briefed for all occasions.

In addition to general calendar management, is responsible for the President's travel arrangements and itinerary.

Effectively manage the President's correspondence, ensuring prompt responses or follow through on requests for decision and action.

Draft letters of invitation, thanks, congratulations, acknowledgment, etc., for the President's signature.

Maintain a current knowledge of the major initiatives of the company to inform of what priorities are occuring

Coordinate all events sponsored by President, Executive Members or Board of Directors

Organize the incoming flow of work, prioritize requests, maintain a monitoring system, and follow-up to ensure timely responses. Prepare the agenda for and attend all meetings; record and transcribe minutes of all such meetings. Assist with appropriate follow-up actions at the conclusion of these meetings.

Create presentations for Executive Team and ensure accuracy of details. Create and maintain SharePoint and Board Portal (BoardEffect) site for executive management and administration.

Research and provide background information on various issues as requested.

Track, monitor and complete all expense reports as well as serve as low-value purchase coordinator for the Executive Office.

Track and update travel and vacation time on shared calendar, ensuring Executive Team is aware of coverage and who is away.

Coordinate all visitors as directed and organized food ordering, set up, tear down and clean up.
