Opportunity:


MacEwan University is seeking an Event Coordinator (Event Planner II) for a full-time continuing opportunity with our University Relations department.

Reporting to the Strategic Coordinator, you will use project management frameworks to implement successful and inclusive events and gatherings on behalf of University Relations.

You will design, plan, and execute high-impact events in various formats (i.e., in-person, virtual or hybrid) and contribute to projects and processes that support world-class event experiences.


Key responsibilities include:

  • Collaborating with University Relations team members and other internal departments on event concepts, designs, and materials, ensuring seamless integration and execution of the vision and compliance to internal processes and policies;
  • Managing a growing cycle of regular events and working with crossinstitution colleagues to implement events that are on time and on budget;
  • Ensuring accuracy and quality of all event materials and communications;
  • Drafting comprehensive event plans and briefings for the Vice-President, University Relations;
  • Coordinating event logistics, including venue sourcing and management, obtaining permits where required, identifying and booking speakers, and invitation and RSVP management;
  • Ensuring events proceed smoothly, solving problems as they arise;
  • Coordinating and supervising vendors and venue staff;
  • Performing the role of host for events and interacting with guests;
  • Organizing and assisting speakers, MCs, VIPs, and others who are part of event programming;
  • Setting objectives and KPIs for all events, developing plans to reach these objectives, measuring event outcomes, and preparing reports outlining the key outcomes for management's review;
  • Monitoring industry bestpractices for events to identify opportunities and challenges, which may include attending industry functions and participating in professional associations to keep current with industry trends;
  • Developing and maintaining documentation related to event policies and procedures; and
  • Maintaining event records and VIP lists.

SKILLS:


You will have:

  • Strong verbal and written communication skills for both internal and external audiences;
  • The ability to work independently and collaboratively in a fastpaced environment, with comfort managing ambiguity in your work;
  • Excellent organization skills;
  • Excellent project management skills and proficiency with project management tools;
  • Proficiency with Microsoft Office software, including Word, Excel, and PowerPoint;
  • The ability to work with a high level of confidentiality; and
  • Conflict resolution skills, with the ability to mitigate risk.

QUALIFICATIONS:


  • A minimum of a diploma in a related field.
  • A minimum of 3 years' experience with event planning in large and complex settings with many stakeholders.
  • Experience working crossfunctionally, with team members at all levels, on complex projects.
  • Experience working in a postsecondary environment is considered an asset.
  • An equivalent combination of education and experience may be considered.
