Job Title:

Area Manager**
Position Summary:Under the guidance and direction of the Operations Manager, the
Area Manager oversees a portfolio of buildings, contracts and other project services.

The
Area Manager organizes and leads operational activities by implementing Five Star standards, directing supervisors (and staff), and ensures the contracted services are delivered according to company budgets and parameters.

This management role includes hiring, terminating and resolving issues that occur with operations staff and other ad hoc responsibilities.

  • The _
    Assistant Area Manager_ _role is an Area Manager "intraining" and generally has the same responsibilities of the Area Manager but is progressing under the mentorship of the Operations team leads. The goal is to provide a transitional period of training to prepare for a full portfolio._

DUTIES AND RESPONSIBILITIES

Management

  • Manage day to day operations activities of Supervisors, Janitorial Staff and Caretakers
  • Performs regular visits to buildings to monitor standards of cleanliness and conduct quality control inspections to ensure contractual duties and client expectations are met
  • Organize and oversee Supervisors' schedules to help them to plan and deliver consistent service and quality control
  • Coach and train Supervisors as required
  • Assist Operations Manager in implementing new management and cleaning systems to maintain Five Star standards and for continuous improvement
  • Monitors operational employees in charge of Emergency/After Hours Coverage who attend to emergencies (appointed by client), responds to emergency calls, and liaises with the Property Managers
  • Ensures the Five Star company cleaning and caretaking procedures are followed consistently
  • Monitors staff absences and turnover, ensuring flexible coverage is arranged
  • Identifies project opportunities and makes recommendations to the Operations Manager on services such as carpet cleaning, strip waxing, tile and grout cleaning, pressure washing (interior and exterior), window cleaning, junk removal etc.
  • Other duties assigned by Senior Management

Planning

  • Works with the Supervisors to schedule weekly and weekend staff as required to ensure vacation coverage
  • Monitors staff absences and turnover, ensuring flexible coverage can be arranged on short notice
  • Ensures inventory supplies are adequate and equipment is in good working order

Budgeting (Hours)

  • Manages and oversees all requirements related to the contracts in their respective divisions
  • Manages and meets budgeted employment hours for contracts contained within each area

Human Resources Duties

  • Monitors staff performance, conducts performance appraisals and enforces disciplinary measures in conjunction with Human Resources
  • Follows up on employees during the probationary period
  • Maximizes the use of technology to train staff when relevant
  • Reports workplace incidents/accidents through appropriate channels, completes internal documentation processes and follows up with corrective action

Training

  • Provides onsite training and orientation for all supervisory staff
  • Coordinates and oversees new staff training and scheduling
  • Ensures proper backup is arranged and cross trains to facilitate coverage
  • Trains Supervisors on cost containment, prioritization and job efficiency to minimize waste of cleaning products and in the proper usage and handling of equipment (cleaning/building management)

Reporting

  • Regularly prepares and submits incident reports to management
  • Creates (online and paper) forms for documentation, training and business purposes
  • Completes daily, weekly, monthly schedules and checklists for Caretakers, Cleaners and Supervisors
  • Creates building procedures for each contract within designated portfolio outlining the following: Passcodes, fob programming procedures and any other vital information
  • Prepares and submits weekly and/or monthly Operations Report for each building
  • Prepares reports as required on Supervisor performance and completes annual performance review for direct reports

Relationship Building

  • Liaises and meets with subcontractors to build good rapport
  • Represents Five Star well professionally when meeting with potential clients (Strata Councils, Property and Building Managers) and other business associates
  • Regularly connects with property managers to assess Five Star's performance to retain contracts and maintain customer satisfaction
  • Develops opportunities for business growth within the portfolio to help Five Star cultivate existing contracts and potential new business
  • Periodically attends strata meetings and other businessrelated functions as a representative of Five Star

Communication

  • Conducts regular team briefings
