The Faculty of Liberal Arts and Professional Studies (LA&PS) is the largest Faculty at York University with over 23,000 undergraduate and graduate students, and almost 100 programs delivered through 24 Departments, Schools and Colleges, plus the IBM Markham Learning Site.

The Internship Program Assistant will support the exciting growth and change of an expanding Experiential Education portfolio in the Faculty of Liberal Arts & Professional Studies.

A key area of responsibility for the role is the effective administration of the Faculty's internship program as a critical strategy for the development of work-integrated learning, recruitment and retention across LA&PS's diverse and varied programs.

Reporting to the Associate Director, Experiential Education and working collaboratively with students, employers, faculty and colleagues within the Experiential Education portfolio, the Internship Program Assistant is responsible for delivering an exceptional customer service experience for students and employer partners in the day-to-day administration and execution of the LA&PS internship program and events.

The Internship Program Assistant will support the vision, mission, values and strategic direction of the Faculty of Liberal Arts & Professional Studies and York University, and contribute to a positive, supportive and client-focused team environment of high performance, respect, trust, collaboration and continuous improvement.

Education:

Community College Diploma in related field (e.g.

education, community outreach, career development) or an equivalent combination of relevant education and experience, this education equivalency is in addition to the experiential requirement outlined below or an equivalent of 2 years recent experience (defined as within the last three years) working at York University and performing the same or similar tasks.

Experience:


Minimum 2 years of recent relevant experience supporting and administering an internship or co-operative education program in a fast-paced/high volume environment.

The incumbent must have demonstrated experience with internship program support and implementation such as providing general internship advising to students and facilitating job posting for employers.

Experience with maintaining and updating the Customer Relationship Management (CRM) software such as Experience York (Orbis), and Student information System (SIS), or other similar student databases is required.

Knowledge of the philosophy, policies and basic operations of all aspects of successful internship program.


Skills:


Strong knowledge of internship and co-operative education placement trends and processes with the ability to interpret and communicate these trends to students and employers.

Knowledge of issues related to barriers and issues in the workplace related to workplace accommodation, needs of a diverse client population (e.g., first generation, Indigenous, adult learners etc.).

An understanding of and willingness to engage in data collection, analysis, and on-going program evaluation as a central component of strategic planning and program development.

Strong computer skills with experience using Student Information System, Orbis or other similar database. Experience using spreadsheet and word processing software.
Strong client service skills required to determine customers' needs and to develop working relationships with different stakeholders.

Excellent organizational and time management skills to cope with multiple projects and events occurring within short and overlapping time periods.

Ability to maintain a realistic balance among multiple and competing priorities.
Excellent communication, interpersonal and conciliatory skills including tact, diplomacy and patience.
An ability to work independently and as an effective team-member. Demonstrated ability to take initiative and exercise sound judgment. Proven ability to handle confidential material. Demonstrated initiative and flexibility.
Self-motivated learner and demonstrated commitment to personal and professional development.
Ability to communicate effectively with a diverse university student population and have a genuine desire to meet the needs of students
