Job Description:

Exciting opportunity to join Informa Connect's Buildings & Construction Group.

An important position has opened for a Conference Coordinator to join the team to support the delivery of in-person and virtual events for the BUILDEX brand.

BUILDEX events are Western Canada's largest business-to business (B2B) events connecting the whole building industry. Attendees join our events to network, learn and discover the newest innovations from a market in constant transformation.


Serving as an important member of the team, you will support the Conference Manager and work with the Conference Operations Coordinator to help deliver high quality and innovative conference programs.

The role includes administrative support involving the collection and management of conference program information, managing said information across internal and external platforms, and acting as the primary point of contact for speakers enquiries in the run up to BUILDEX events.


The successful applicant will help support the continued growth and success of a thriving BUILDEX brand while working directly with multiple colleagues, internal and external teams.

You will be a fully integrated and valued member of the team while you are with the group.


Key responsibilities

  • Collecting and processing session, speaker and sponsor details for conference databases, websites and thirdparty platforms.
  • Managing change of conference program information, including processing and managing changes to session and speaker details across multiple internal and external platforms.
  • Processing and communicating changes to speakers, speakers' profiles and their details, internally and externally.
  • Proofing and auditing speaker and session details across all touch points of the conference program, including internal and external databases, websites, marketing collateral, the registration site and more.
  • Creating, sending, and managing all speaker communications, with the approval and oversight of the Conference Manager.
  • Gathering and communicating needs, accessibility needs, special requests and requirements from speakers for their involvement in BUILDEX.
  • Submitting conference programs for assessment to receive continuing educational credits from industry associations or governing bodies.
  • Reviewing conference video content for accuracy, errors and quality.
  • Assisting the Conference Team in program research to help determine topics of interest for specific audience segments.
  • Assisting the Sales Team in providing research and sales leads on potentially new / emerging companies in the industry.
  • Supporting the scheduling and setup of multipleperson virtual meetings / calls in the run up to events.
  • Preparing showbranded PowerPoint slides, room/stage slide decks, and introduction scripts for speakers, sponsors, chairpeople and onsite execution.
  • Help prepare for the onsite delivery of BUILDEX shows including collecting outstanding presentations, handouts, speaker AV requirements, guest registrations, and sending items to print.
  • Supporting the Conference Manager with onsite delivery of the show including speaker support and management, room monitoring, and troubleshooting.
  • Help with post event deliverables and wrap up tasks including attendee surveys, creation of attendance certificates.
  • Other tasks as and when requested.

Qualifications:


Qualifications

  • Excellent communication skills, both written and verbal.
  • Project coordination skills and proven ability to work on multiple priorities and work within tight deadlines.
  • Strong organizational skills and attention to detail.
  • Experience of populating databases, websites, or CRMs.
  • Knowledge and experience with video conferencing / meeting platforms (e.g. Microsoft Teams or Zoom).
  • Strong computer skills, specifically with Microsoft Office. Outlook, Excel, and PowerPoint experience essential, Access a strong desirable asset.
  • The ability to work independently is essential.
  • Previous experience in events a strong asset.
  • Ability to mail merge an asset.
  • Passion for virtual technology and event platforms an asset.
  • Positive work ethic and team working/collaborative skills.
