Job Summary:
Under the supervision of the Administrative Coordinator, responsible for reception and providing administrative support to Hillel Lodge during evenings and weekends.
Primarily Tuesday and Wednesday Evenings: 3pm to 8pm, with the opportunity to pick up an occasional weekday, weekend or evening shift as needed.
RESPONSIBILITIES:
Reception
- Direct delivery people, volunteers, visitors to the appropriate location.
- Greet visitors, and screens appointments for Management.
- Provide central telecommunications support
- Monitor residents in the lobby area, contacts Nursing if there are any problems
- Ensure all visitors use proper signin procedures.
- Ensure Reception area is neat and tidy.
Clerical Tasks
- Complete routine clerical assignments including photocopying, filing, mail preparation and distribution, electronic and hard copy document creation etc, per daily, weekly, monthly schedules and ad hoc requests.
Staff Scheduling Support
- Assist with the daytoday staffing function as required, record changes in Ceridian Dayforce, including but not limited to taking staff sick calls and calling staff to fill open shifts
- Perform any other relevant duties necessary for the welfare of the residents and efficient operation of the Home.
QUALIFICATIONS:
- Postsecondary education in Business or related field or an acceptable combination of education, related training and experience.
- Relevant experience in similar role in healthcare or longterm care environment is an asset.
- High level of attention to detail and accuracy of work
- Multitasking, organization, time management and problemsolving skills.
- Excellent customer service skills and a personable, professional manner.
- Maintains composure and focus while dealing with multiple priorities and demands for attention
- Good judgment and discretion.
- Proficient in Microsoft Office, with good knowledge of Excel and Word
- Strong command of the English language, (read, write, speak)
- Exhibits cooperation, tact and diplomacy in dealing with all persons
- Experience working in a retirement home or longterm care facility is helpful
- Knowledge of office practices and procedures.
- Able to multitask and organize an administrative office
- Works independently and as a team member.
