We are currently looking for a motivated and hardworking individual to help us in building our many exciting projects.

Reporting to the Project Manager, you will be responsible for various administrative tasks that surround the transfer, recording, storage, retention and filing of project documents.


While those with previous experience are preferred, this can also be a great entry-level opportunity for those with an interest in document control.


About You

  • Strong knowledge of Microsoft Office, as well as having the capacity to quickly learn new software
  • Selfmotivated, highly organized, able to work with mínimal supervision, and available to meet deadlines
  • Adaptable to changing expectations and processes
  • Strong attention to detail, excellent written and verbal communication skills
  • Previous experience in document control, records management or working in an office setting at an administrative level would be considered an asset

Specific Responsibilities

  • Providing support on RFP's and associated tasks as assigned
  • Setting up both remote and in person meetings including all invitations, agendas, preparations and followups.
  • Attending Design meetings and documenting relevant information as specified by the Project Manager (i.e. Meeting Minutes, Presentation Slides).
  • Required to work on project schedule days which may include holidays/statutory days
  • Preparing and tracking various reports as determined by the team
  • Issuing/receiving process for 2D, 3D files and documents
  • Issuing electronic document files that have been prepared by the project teams via FTP and or cloud based electronic document management sites
  • Printing digital submissions, final quality control, organizing and maintaining up to date electronic file folders and printed document sets
  • Coordination of construction documents (drawings and specifications) while providing quality check in accordance to project protocol
  • Preparing and checking titles and issue lists (drawing and specification lists)
  • Maintaining current drawing and specification sets (hard copies and digital files)
  • Organizing the printing of issued documents including consultants' documents in accordance with the projects protocol
  • Using Bluebeam Revu/Bluebeam Studio for review and collaboration of Submittals and RFIs
  • Tracking of Submittal and RFIs review both internally and externally
  • Other tasks as assigned by the Project Manager.
