As an integral part of the Radiation Medicine Program (RMP), the
_Administrative Team Leader_ is accountable for the direct supervision of RMP Patient Flow Coordinators (PFCs)
The principal responsibilities include:
providing leadership and operational support to all activities performed by the PFCs; planning and implementing day-to-day and long-term staffing and HR allocation; in liaison with the direct manager, assisting with staff recruitment and on-boarding; developing and implementing staff training and professional development plans; coaching PFC staff; co-leading or participating in departmental and/or UHN/-wide committees and initiatives; performing cross-functional and/or other duties consistent with the job classification, as assigned or requested.
KEY ACCOUNTABILITIES & RESPONSIBILITIES:
- Staff Leadership and Operations Support
- Provides leadership & support to PFCs to ensure smooth daytoday operations.
- Investigates & addresses issues related to the operations/ activities performed by PFCs, including meeting with staff for resolution.
- Leads/participates in RMP Safety huddles.
- Oversees/leads monthly PFC staff meetings.
- Monitor & evaluate change in operations, identify/implement improvement strategies and/or facilitate change management in liaison with manager.
- PFC Staffing and Resources Allocation
- Performs staff planning on a monthly & annual basis in liaison with manager.
- Schedules staff on a daily & weekly basis, including allocating coverage for planned & unplanned leaves.
- Enters & updates staffing schedule & changes in eSummit to ensure information is uptodate on a daily basis.
- Communicates daily PFC staffing/coverage details to respective UHN-RMP stakeholder groups.
- Approves vacation/leave requests for PFCs in collaboration with the manager.
- Staff Recruitment and On-Boarding
- Facilitates recruitment of new PFC.
- Onboards new staff.
- Staff Coaching and Development
- Assists manager in staff performance management.
- Leading/Participating in Departmental and/or UHN-Wide Committees and Initiatives.
- Contributes to corporate efforts and initiatives, as appropriate, to enhance UHN's mission, values and goals.
QUALIFICATIONS:
- Completion of high school (or recognized equivalent) and completion of a recognized post secondary office administration program at the diploma level required.
- Minimum 2 years of employment with the RMP at Princess Margaret Cancer Centre and a high familiarity with its operations preferred.
- Experience coaching staff required.
- Experience supervising staff preferred.
- Demonstrates strong leadership and motivational skills.
- Is client service oriented, with the ability to effectively work with diversity and appreciates that people with different opinions, backgrounds and characteristics bring richness to the challenge or situation at hand.
- Effective organizational, interpersonal and communication skills.
- Excellent problem recognition, analytic and resolution skills.
- Excellent decisionmaking skills with the ability to form/defend independent judgements and to use good judgement in assessing difficult situations.
- Ability to work effectively and demonstrates composure under pressure/stressful conditions and to meet multiple and competing deadlines
- Exercises initiative and good judgement with ability to multitask.
- Adapts to and implements change and facilitates its acceptance by others
- Has knowledge of applicable legislative, UHN and/or departmental policies, procedures & protocols
