Position Information:


Working in the Department of Medicine (DOM) Executive Suite, the HR Assistant provides clerical and administrative support in compiling, maintaining, and processing information related to the human resources function under the direction of the Director, HR.

The HR Assistant also provides reception services for the administration offices of the Department.

Support staff are employees of the hiring physician(s) or Division. The Ottawa Hospital is the paymaster of our employees. Although our employees have offices within the Ottawa Hospital, they are not employed by the Ottawa Hospital.

Temporary until approximately June 01, 2024.

Rotation/Shifts:

Days, 8 hour shifts.


Responsibilities:


Responsibilities include but are not limited to:

  • Maintains accurate employee position and physician appointment information in the database;
  • Uploads documents to specific SharePoint sites, as directed;
  • Assists HR Advisor with recruitment activities such as posting vacancies, coordinating interviews, and completing reference checks;
  • Assists the HR Advisor with employee recognition programs such as DOM Ambassador awards, long service awards, etc.;
  • Assists in drafting and coordinating surveys and polls; collates and analyzes results;
  • Supports the HR Team with the review and interpretation of various HR Reports, identifies inconsistencies, and supports the resolution (HRIS and Payroll reports);
  • Works collaboratively to provide support for special projects as required;
  • Assists with the digitization of HR files;
  • Assists HR/EDI Advisor with ongoing projects (pay equity, presentations for HR Connection, information collection, etc.);
  • Assists with physician appointment coordination;
  • Provides reception and administrative support to the DOM Executive Suite team.

Basic Requirements:


  • Postsecondary or diploma with specialization in Human Resource Management;
  • Knowledge of SharePoint, MS Teams, and MS Office 365 with intermediate skills in Word, Outlook, Access, and Excel;
  • Knowledge of the Employment Standards Act of Ontario;
  • Familiar with legislation affecting the workplace (Human Rights Act of Ontario, privacy legislation, Occupational Health and Safety Act, etc);
  • Experience in a healthcare environment is an asset;
  • Written communication, proofreading, and editing skills required to draft or generate correspondence or documents;
  • Strong interpersonal and verbal communication skills;
  • Experience coordinating meetings including preparation of agenda, taking and dissemination of minutes, etc.;
  • Experience maintaining a database;
  • Must have ability to multitask with attention to detail, demonstrating organizational, prioritization, and timemanagement skills, as well as proven ability to meet deadlines;
  • Ability to work in a team environment and maintain a pleasant disposition;
  • Ability to work well with mínimal supervision;
  • Exercises sound judgement and a high level of confidentiality and discretion while working with sensitive and private information;
  • Capable of adapting to a complex and changing work environment;
  • Proficiency in speaking and comprehending both English and French (Level B+) preferred.
