Reporting to the Director of Operations & HR, the Operations Coordinator will be responsible for the day-to-day administration of MOCA's paperless office, including providing administrative and IT support to a small hybrid team.

A part of the administrative duties will also include assisting the Director of Operations & HR with the museum's HR functions, including recruitment, training, onboarding, offboarding, policies and procedures and other HR support.


Aside from administrative support, this role will also work closely with the Director of Operations & HR to ensure the smooth operations of MOCA's facilities.

Occasionally, coordinating with event clients for external events to align with MOCA's current operations and exhibitions.


Responsibilities

Administration/Human Resources

  • Set up workissued computers, equipment and accounts for incoming staff
  • Issue building access fob and keys to office staff and maintain records
  • Coordinate office IT resources and systems (phone/wifi/computers/printers), liaise with external IT and provide technical support to staff as needed
  • Frequently check office and kitchen supply stock; reorder supplies when needed
  • Maintain the organization's Google Suite account
  • Maintain accurate retail inventory and handled the shipping of online sales
  • Assist with maintaining the Operations and Administrative budgets
  • In consultation with the hiring managers, prepare job descriptions, post ads and coordinate the hiring process
  • Coordinate effective onboarding and offboarding plans
  • Assist with the development of training programs and modules
  • Maintain employee records according to policy and legal requirements
  • Assist in the development and upkeep of workplace policies and procedures
  • Coordinate any changes to salaries and benefits with payroll staff
  • Serve as a resource for answering questions about policies and procedures at the museum

Facilities

  • Ensure lighting and elevator schedules conform to current operational needs, including special events
  • Oversee cleaning of museum and staff offices through cleaning contract
  • Monitor HVAC trend logs
  • Monitor security camera footage when necessary and work with the exhibitions team to determine new locations depending on artwork location
  • Assist the Director of Operations & HR with the daytoday facility needs
  • Work with event staff to coordinate and schedule tech and install resources required for programs and events outside of exhibitions
  • Handle event inquiries and contract administration
  • Ensure appropriate insurance certificates are collected from vendors, contractors and clients, as applicable

Skills and Qualifications

  • Bachelor's degree in Business Administration, Human Resources or related field
  • 3+ years of experience in operations, HR, facilities, IT or office management
  • 3+ years of experience providing administrative support to a mediumsized office
  • Excellent written and verbal communication skills
  • Demonstrates patience, determination and empathy when troubleshooting staff and contractor issues
  • Sound knowledge of IT hardware, including computers, phones, wifi and printers
  • Excellent understanding of software systems, including network, enterprise and office programs
  • Demonstrates superior organizational skills, with the ability to manage multiple projects and competing priorities
