    Nature of the Work:


    The Coordinator Repair & Maintenance is responsible for the coordination, supervision, evaluation, research and development of programs and activities related to the maintenance, repair and improvement of the material resources (buildings, equipment and systems), including overseeing internal resources (repair officers and trades) and external contractors.

    Key responsibilities

     Ensure the completion of all activities related to the protection and repair of movable and immovable property

     Develop the repair and maintenance strategy with the support of the Assistant director – Operations & EHS and oversee its implementation

     Develop policies, rules and procedures and oversee their implementation in preventive and corrective maintenance of physical equipment and building infrastructure

     Participate in developing a comprehensive and rigorous contractor strategy as it pertains to R&M

     Establish, deploy and manage processes for repair & maintenance activities, and standard decision criteria for how work is prioritized (CGIS, risk, complexity, etc.) and assigned (expertise, availability, etc.) to facilitate decision-making and optimize workflows while ensuring compliance with rules and regulations

     Prioritize appropriate time-sensitive work requests and routing for dispatch as quickly as possible

     Assigns tasks internally (trades, repair officers) or externally (contractors, professionals) and clearly define the separation of tasks in accordance with the contractor strategy, and develop corresponding processes and control mechanisms for both internal and external contributors

     Establish internal ownership of tasks performed by contractors and outline clear and contractual performance criteria for external contributors

     Participate in the tendering processes as needed for activities pertaining to repair and maintenance

     Manage and plan inventories of materials, tools and equipment required for maintenance workers

     Receive requests from the network (Principals, Departments, etc.) and manage work orders in GRDS including assignment, prioritization and scheduling according to pre-established criteria (resource skills, work backlog, effort, location, work type, etc.) - system-driven, automated when possible

     Ensure regular updates to the digital records management system (GRDS+Maximo) to support enhanced communication with customers, auditors, regulators, and employees and other divisions of MR (procurement and infra and project)

     Manage and plan the truck fleet

     Oversee the process of creating work orders and issuance of purchase orders

     Oversee work carried out by Repair officers trade workers to guarantee regulatory compliance and stakeholder satisfaction

     Define and monitor KPIs (e.g. workload, turnaround time, etc.) and dashboards for all work orders and purchase orders

     Review and approve maintenance plan (preventive and corrective) as a corollary to CGIS investment plan, with CGIS planning committee and the Energy manager and Health and safety manager

     Ensure proactive coordination of inspection, repair and preventive maintenance activities with the project management division, environment health and safety, rentals and any other stakeholders involved by these activities

     Oversee the implementation and operation of the building maintenance module of GIEES (Gestion des infrastructures de l'Éducation et de l'Enseignement supérieur)

    o As required, prepare the tender, mandate and coordinate with external consultants for the implementation of the building maintenance module GIEES

    o Participate, on a rotational basis, in the duty roster (watch and guard of buildings) for weekends, evening and holidays

    o Any other related tasks

     Supervise (hiring, performance management, training, oversight of responsibilities) the following positions: Repair Officer - Repair & Maintenance, Trades – Repair & Maintenance

    Requirements and Qualifications

     Undergraduate degree in a relevant field of study, certifying a minimum three-year university program or hold a senior executive or senior staff position in a school board for which an undergraduate degree is required under the minimum qualifications

     5 years of professional experience in relevant fields, including 3 or more years of repair and maintenance experience

     Demonstrated team management capabilities

     Ability to coach and support managers and develop employees

     Ability to prioritize and work simultaneously on several files and responsibilities

     Ability to build a culture of efficiency, effectiveness, and compliance

     Ability to build a customer-centric, service-oriented culture

     Knowledge of repairs and maintenance regulations and best practices

     Strong understanding of work order processes and systems (GRDS, Maximo, Simacs)

     Knowledge of environmental, health and safety regulations and best practices

     Knowledge of quality control practices and processes

     Strong commitment to operational effectiveness

     Strong focus on process efficiency & optimization, and continuous improvement

     Fluency in English and French (oral and written)

     Proficiency in MS Office suite- Excel, MS Project, PowerPoint, Teams

     Experience and knowledge of the EMSB and public sector school building network is a strong asset for this strategic position
