The opportunity:

The University of Manitoba Faulty of Science is looking for a Co-op Program Assistant.

This position will be the first point of contact for students, employers, faculty, and staff enquiries relating to the co-op programs.

The Co-op Program Assistant will also be responsible for assisting the Co-op Coordinators and the Director in the day-to-day administrative operations of the Science Co-op Program.


The qualifications and experience we're looking for:

  • Completion of a formal training program in a related discipline from a recognized institute is required.
  • Training directly related to career counselling or recruitment is required.
  • Knowledge of STEM disciplines would be an asset.
  • A minimum of four years of directly related administrative experience with demonstrated ability to manage databases, is required.
  • Experience with student advising and employer relations is required.
  • Experience with event planning and coordination is required.
  • Experience in job search support, human resources, career counselling, recruitment, or other similar client services, is preferred.
  • Experience with the administration of a Cooperative Education and/or Work Integrated Learning program would be preferred.
  • Experience with resume and cover letter writing and critiquing is preferred.
  • Experience meeting with industry partners through telephone and inperson visits is preferred.
  • Experience with UM CONNECT, UM Learn, Aurora, and website maintenance would be an asset.
  • An acceptable equivalent combination of education and experience may be considered.
  • Excellent communication skills both in person and over the phone with the ability to craft professional correspondence, is required.
  • Positive, proactive attitude with an engaging manner and exceptional interpersonal skills are required.
  • Demonstrated ability to build positive relationships with students and employers is required.
  • The ability to contribute creatively to the development of marketing strategies is required.
  • Must be able to coordinate schedules, arrange meetings, and participate in strategic planning.
  • Strong teamwork skills with the ability to make independent decisions in the best interest of all stakeholders, is required.
  • Must be able to complete assignments independently with little or no supervision.
  • The ability to multitask, prioritize and handle large volumes of work within tight timelines, is required.
  • The ability to manage the collection and compilation of large volumes of data, verify information and produce detailed statistical reports, is required.
  • Must be able to effectively mentor and assist in advising students.
  • The ability to identify, recommend, process and implement improvements, is required.
  • Must be able to adapt to new technology, especially new computer software and Internet resources.
  • Knowledge of University of Manitoba and Cooperative Education procedures and practices is an asset.
  • Knowledge of/background in Science is an asset.
  • Knowledge of information technology industry is an asset.
  • Overtime hours and weekend work will be required during peak times.
  • Satisfactory work record, including satisfactory attendance and punctuality, is required.
