We are currently hiring a full - time permanent Operations Support Specialist to support our team of Operations Managers with creating daily work schedules.


GardaWorld is the largest provider of aviation services for the Canadian Air Transport Security Authority (CATSA), offering screening services in 28 airports across Canada.


Reporting to an Operations Manager (OM), as Operations Support Specialist (OSS), the role has the responsibility of implementing plans that are useful to the business's success.

The Operations Support Specialist is tasked with assisting the Operations Manager in creating employee daily work schedules, including securing additional resources to fulfill scheduling requirements.

Under the supervision of the Operations Manager, the OSS will execute service requirements. It is an essential part of this role to complete various administrative tasks, including managing vast amounts of data.


Position Duties

  • Evaluate current operational processes within standard operating protocols and recommend improvements to the Operations Management team within service and compliance requirements.
  • Resolve operational problems within the defined schedules and service level agreements. Responsible for coordinating the implementation of solutions to improve the overall effectiveness of screening services.
  • As required, deliver components of team briefings regarding critical SOP standards, client requirements, legislation, or divisional guidelines.
  • The OSS promotes a safe culture through learning with our employees. Through this learning, they will assist in implementing and managing local and regional initiatives to "zero harm. The OSS will also administer and promote safety processes chosen to be rolled out using new digital tools and processes. In addition, liaise with Health and Safety internal community to ensure compliance.
  • The OSS will assist in creating and managing tools that help analyze and organize raw data to help management understand their optimal performance (OP).
  • Shuttle Transport ensure the transportation of screening personnel to the remote locations.
  • Responsible for the development of the recommended shift schedule and coordination of break relief. The OSS will work with and seek approval from the Operations Manager of the schedule.
  • Support collaboration and coordination between departments through communications with various support services to meet the requirements of the daily operation and client expectations. This will include a variety of office administrative tasks, including report writing and data collection.
  • Quality Assurance, as necessary, may be required to assist Quality Assurance, including providing assistance or coverage for the Quality Leads.
  • Contribute to regular operational meetings and team briefings.
  • Support operational projects and coordinate the delivery and communication with screening services.
  • Address client or service issues promptly and accurately; this may include following the appropriate escalation processes.
  • Coordinate and manage multiple priorities and projects promptly.
  • Organize, communicate, and follow company policy, procedures and programs in an effective and timely manner for the Operations Management team including consumable inventory.

Requirements:


  • A minimum of secondary education or related field or equivalent work experience.
  • A minimum of 13 years of experience working in the aviation industry, or similar service.
  • Preference will be given to individuals with experience in the aviation industry.
  • Must process a valid Driver s Licence.
  • Proven knowledge of the business practices.
  • Must be a licenced driver, able to pass the certification training for driving aviation.
  • Able to complete all necessary CATSA training.
  • Ability to foster teamwork.
  • Strong oral and written skills.
  • Ability to work well with others.
  • Able to manage multiple tasks with tight deadlines.
  • Must possess strong computer capabilities including MS Office Suite and project/scheduling software.
  • Must be a Canadian Citizen or a Permanent Resident as defined in the Immigration Act with an employment authorization document
  • Ability to obtain and maintain a security clearance and Secret Clearance
  • No previous criminal background for which a pardon has not been granted
  • 18 years or older

  • Travel may be required for training. Other travel may be requested when assistance is required at other airports
