About the Position
Reporting to the Director of Sales, the Sales Coordinator supports the Sales Department administrative requirements. This position is responsible for managing the sales info line, preparing contracts, proposals, reports and filtering all inquiries. It is an integral part of our team.


General responsibilities include:


  • Provide assistance for all department contracts, and proposal preparations. Ensure all proposal and contracts are accurately completed in a timely manner.
  • Provide coverage for sales info line, manage sales inbox and review website submission for leads and bookings.
  • Qualify incoming calls, using the Sales Qualifying form and forward lead to relevant manager or to the manager on enquiry.
  • Event invoicing, reconciliations and settlements for all event types including Concerts/Sporting, Meetings, Conventions, Catering)
  • Participate, transcribe and share agenda and minutes for team meetings minutes
  • Update and maintain monthly reports (Web leads, New Business etc.), invoicing, and files.
  • Update Swag and Top Client list including ordering swag, gathering approvals, and inventory
  • Works closely with Director of Sales and Marketing Department on team initiatives and marketing materials including invites, handouts, and banners/signage
  • Works with social media team to ensure marketing materials, online presence and website are updated with accurate pricing and services
  • Manage USI data entry, ensure signed contracts are uploaded into USI and follow up with Sales Managers on missing documents
  • Manage and maintain Customer Relationship Management (CRM) system to ensure critical customer data is maintained and enhanced to produce leads.
  • Provide client/ community site tours and assist potential clients on finding appropriate date and space. Sending required documents to clients and follow up on client deposits.
  • Assist with research and planning for client events for sales initiatives.
  • Main point of contact for Explore Edmonton internal bookings
  • Send out event listings monthly to contractors, partners and internal/ external stakeholders
  • Provide weekly report of Sales Rent for financial reconciliation, monthly lease invoicing, GL Inquiries and produce monthly AR report
  • Assist with tradeshows as required
  • Assists Sales Team on initiatives & special projects, as required
  • Postsecondary education diploma in Business Management, Hospitality, or Travel Program is preferred
  • 12 years relevant experience selling event / hotel / venue space
  • Ability to effectively communicate research and analysis through a variety of mediums (verbally or written).
  • Professional, wellorganized, and able to work well both independently and within a collaborative team environment
  • Able to multitask and manage numerous and various projects and responsibilities
  • Strong problemsolving skills and an ability to think strategically and under pressure
  • Able to adapt well to change and new ideas
  • Proficient with Microsoft Office Suite
  • Previous experience using Customer Relationship Management (CRM) Software
  • Proficiently in venue management systems, USI or other, considered an asset
  • Must have desire to further potential for selling abilities
  • Knowledge regarding social media
